Job Description
The Graduate Fiscal Coordinator oversees all graduate payroll for the Civil and Environmental Engineering Department (CEE) in order to ensure that department objectives of complying with university fiscal payroll and departmental policies and procedures are met in a timely and accurate manner.
This position is responsible for graduate assistantship and fellowship payroll preparation for new and continuing students (including status and fund change requests) and approves all graduate student positions in banner. This position is also responsible for tracking GA/GTA/GRA positions and fellowships in departmental spreadsheets tuition funding for assistantships I9 processing financial and policy updates to offer letters creating graduate payroll spreadsheets for tracking shared funding updating the graduate assistantship request survey organizing historical records interacts with faculty members about graduate payroll questions and other related tasks in relation to graduate student assistantship and fellowship payroll.
This position will work closely with CEE faculty regarding allocation of funding for GTAs will provide faculty members with updated payroll calculators each academic year and provide information on departmental Graduate School and university policy regarding graduate payroll.
This position works closely with the Graduate Student Coordinator who oversees student progress to degree and other student statuses which affect payroll decisions and who enters graduate contracts tuition awards and positions in banner. This position will also work with other fiscal positions in CEE whose job interacts with graduate payroll. This position will also work with the Associate Department Head and the Graduate Student Coordinator on matters regarding the CEE graduate program.
Required Qualifications
Demonstrated knowledge of bookkeeping and accounting principles methods and practices. Experience utilizing various software applications such as word processing excel & other spreadsheets and electronic mail. Ability to interact and communicate effectively with others. Ability to organize multiple tasks and work independently as well as work with the team for graduate payroll processing COE & Graduate School.
Preferred Qualifications
Bachelors degree in accounting or related business field or an equivalent combination of training and/or experience. University experience and extensive knowledge of University policies procedures and forms. Experience with graduate assistantship rules. Experience with Banner HRIS Banner Finance HokieMart and DEPART.
