Type of Appointment: Full Time Probationary

Job Classification: Administrative Analyst/Specialist Exempt I

Anticipated Hiring Range:$4598 $4831 per month

Work Hours: Monday Friday 8:00am 5:00pm

THE DEPARTMENT:

The Student Innovation Idea Labs (iLabs) creates and supports an entrepreneurial ecosystem on the Cal Poly Pomona campus that advances the development and strengthening of the creative innovative and entrepreneurial capacities of Cal Poly Pomona students. The iLab serves as a resource for students faculty and staff on the campus and for the surrounding business community stimulating innovation technology development and creativity primarily to support the workforce development of our students and to foster transfer and commercialization of their projects. It supports innovative and entrepreneurial student projects; the experience students obtain in developing their projects will be of great benefit to them providing them with valuable business experience and strengthening their workforce skills. iLab is also a resource for the local community through entrepreneurial programming including summer camps pitch competitions workshops etc.

DUTIES AND RESPONSIBILITIES:

  • Supporting the iLabs Director in the daytoday operations of the unit including three spaces (iLab Maker Studio and the offcampus Innovation Orchard) and providing administrative assistance to the Director.
  • Advising the iLab Director on policy and procedures related to the operational functions to meet the goals of the iLab.
  • Manage budget of iLabs including maintaining records providing projection and revenue costs posting budget data to journals registers and ledgers performing continuous budgetary control of appropriations drafting text materials to summarize analyze and justify budget programs and assist with budgetary control functions.
  • Supporting the iLabs Director with scheduling of student assistants including statebudget hires (610 SAs) federal workstudy (some 1012 SA/s) and a team of volunteers as iLabs Ambassadors.
  • Supporting the iLabs Director in the development and maintenance of external relationships with alumni industry donors and government official Serving as the program coordinator for existing iLabs programs initiatives and serving in an advisory role in the development of new initiatives. Support iLabs faculty fellows and other faculty working with the iLabs.
  • Designing and implementing assessment of student learning and other evidencebased decisionmaking practices to assure the quality of programs under iLabs.
  • Providing the full range of administrative and fiscal support for the development and implementation of innovative academic programs and new academic initiatives.
  • Serving as a representative of iLabs to outside entities. Serving on universitywide committees as necessary in support of the strategic purpose of iLabs.
  • Assisting the directors and staff of each unit in identifying understanding and adhering to various policies procedures and regulations pertaining to iLabs programs.
  • Collaborating with administrative staff of each office including providing training on new policies and procedures about iLabs programs and assisting with work direction in relation to these programs; and leveraging the interdependencies and synergies among all OAI units to advance the goals of the iLabs.
  • Collaboration with OAI units to plan OAIwide programming and events.
  • Apply standard theories principles practices and techniques applicable to iLabs to develop conclusions and make recommendations.
  • Demonstrate thorough knowledge of policies procedures and outside regulations pertaining to iLabs. Perform operational and fiscal analysis and techniques. Take initiative and independently plan organize coordinate and perform work in various situations where numerous and diverse demands are involved.
  • Research develop and evaluate policies and programs including collection evaluation and interpretation of data to develop and sound conclusions and make appropriate recommendations.
  • Investigate and analyze problems with a broad administrative impact and implications. Anticipate problems and address them proactively.
  • Develop and implement a marketing and communication plan for iLabs in collaboration with the Director including the management of the website social media handles and staff the programs and opportunities available in iLabs.
  • Effective interpret organize and present information and ideas in written or oral form. Train others on new skills and procedures and provide lead work direction for staff and student assistants.
  • College Deans Associate Deans Chairs and faculty and staff assist colleges departments faculty and staff in their work to support iLabs programs and advance an innovation and entrepreneurial ecosystem on campus as a part of career readiness initiatives and provide assistance/training in any new policies regulations and procedures developed in relation to new programs established in iLabs.
  • Community and communityrelated organizations collaborate with community and communityrelated organizations to plan organize and host events related to iLabs and develop and manage external relationships.
  • Division of Student Affairs collaborate with the division to identify opportunities to recruit students and advance a culture of innovation and entrepreneurial practices in coactivities.
  • Office of Research and Sponsored Programs work with staff to identify and develop funding sources to support culture of innovation and entrepreneurial practices as a part of career readiness initiatives; communicate funding sources to faculty and staff in the support of a culture of innovation and entrepreneurship.
  • CPP Foundation Inc. work with staff to manage externally and internally funded projects support faculty staff and students in accessing and processing grant funds and manage iLab foundation accounts.
  • Office of Student Success Equity and Innovation work with staff to deploy innovation initiatives and support multifaceted programs and activities in support of student success.
  • Division of University Advancement work with division staff to identify and develop funding sources to support a culture of innovation and entrepreneurial ship; and provide information and assistance as needed in the management of the funding.

QUALIFICATIONS:

  • Bachelors Degree Bachelors degree AND/OR the equivalent training and administrative work experience involving study analysis and/or evaluation leading to the development or improvement of administrative policies procedures practices or programs
  • Driver License Valid and in State

Working knowledge of general practices program and/or administrative specialty; basic knowledge of and ability to apply fundamental concepts; working knowledge of budget policies and procedures; ability to learn interpret and apply a wide variety of policies and procedures relating to and impacting the applicable program organizational unit and/or administrative specialty; knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques; ability to organize and plan work and projects including handling multiple priorities; ability to make independent decisions and exercise sound judgment; ability to compile write and present reports related to program or administrative specialty; demonstrated ability establish and maintain cooperative working relationships.

PREFERRED EXPERIENCE:

  • 1 year administrative work experience in entrepreneurial/small business/project management experience in education health care design services manufacturing or event planning
  • Demonstrated knowledge of Cal Poly Pomona and Cal State University system bureaucracy
  • Ability to work closely with students and work across departments colleges and multiple organizational units; working knowledge of operational and fiscal analysis techniques; ability to plan organize coordinate and perform work in various situations where numerous and diverse demands are involved; skill in research collection evaluation and interpretation of data to develop sound conclusions and make appropriate recommendations
  • Expertise in investigating and analyzing problems with a broad administrative impact and implications; ability to anticipate problems and address them proactively; and ability to effectively interpret organize and present information and ideas in written or oral form. Able to enter data and track information in a spreadsheet.
  • A thorough knowledge of English grammar and ability to effectively convey ideas in writing to audiences across campus and with external partners.

CSU Classification Salary Range

This position is part of the CSUEU bargaining unit. The CSU Classification Standards for this position are located on the CSU Classification Standards CSU Salary Schedule is located on the CSU Salary Schedule classification salary range for this position according to the respective skill level is: minimum$4598 and maximum$8318 per month. Please refer to the anticipated hiring range for the appropriate salary rate for this particular position.

University Driving Requirements

Positions that require driving for university business by using apersonal or state vehicle must comply with the Authorized University Driver Policy. Driving records are monitored and evaluated by the Risk Management Department. The Risk Management Department evaluates a good driving report based on the following criteria. The driver must: 1. Have a valid California or other State Drivers license. 2. Have no more than 3 motor vehicle violations or been the cause of 3 accidents in a 12month period (or any combination of 3 thereof) 3. Not have more than 3 DMV Points if their license is Class C or 4. Not have more than 5 DMV Points if their license is Class A B or C with endorsements.
