Job Description

City FM Australia (City) provide world leading Facilities Management Engineering and Energy solutions which ensure safe successful and sustainable outcomes on time and on budget for our partner Coles.

THE OPPORTUNITY:

Were seeking a detailfocused and highly organised Compliance Officer to join our Asset & PPM (Planned Preventative Maintenance) team. In this role you will manage compliance documentation and ensure regulatory standards are met across Coles Supermarkets and Coles Liquor locations.

Youll be responsible for maintaining compliance registers managing workflows for certifications and providing administrative support across a wide range of essential services from fire safety to lift certification. This role is critical in ensuring our operations meet all regulatory and internal audit requirements.

Key Responsibilities:

Compliance Management

  • Maintain uptodate registers of certifications and compliance documents across multiple sites.
  • Track expiry and renewal dates to ensure uninterrupted compliance.
  • Ensure documentation is accessible for internal teams and stakeholders.

Workflow Coordination

  • Coordinate compliance processes with internal teams subcontractors and external authorities.
  • Manage documentation approvals and payment of certification/registration fees.
  • Arrange fire interface tests and essential services audits as required.

Administrative Support

  • Respond to general asset and maintenance inquiries.
  • Provide daily administrative support across the asset and maintenance team workload.

To be successful you will need:

  • Certificate III/IV in Commerce Management or Asset Maintenance Highly Preferred.
  • Minimum 3 years experience in office administration Essential.
  • Experience with document management Preferred.
  • Basic to intermediate Excel skills Essential.
  • Strong organisational and communication skills.
  • Ability to manage multiple deadlines with attention to detail.
  • Full Australian working rights.
