Job Description

Working/Functional Title

Academic Programs Supervisor

Position Summary

This position will train supervise and evaluate all academic program coordinators as well as student and clerical support staff who contribute to program operations in the CEPSE department (68 supervisees). The person in this position will be responsible for establishing and maintaining consistency in support provided across the CEPSE programs and ensure that departmental college and university policies are followed consistently across programs. The person in this position will also participate in CEPSE department leadership team and contribute to departmental strategic planning to improve work efficiency and effectiveness. The person in this position must be familiar with the complexities of the multiple degree programs in CEPSE at the undergraduate and graduate levels in order to develop and support policies and procedures related to the clerical support of programs and the department. They will serve as a resource for CEPSE program coordinators and also perform program coordinator duties themselves as part of CEPSEs program support team.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired in the first two or three years in college technical vocational or business school with coursework in office management and business; one to three years of related and progressively more responsible or expansive work experience in office management budget preparation financial and administrative recordkeeping and secretarial skills; experience in word processing spreadsheet database desktop publishing and/or web page design or presentation software; or in performing responsibilities related to the operational activities of the employing unit; and may require one to three years of supervisory experience; or an equivalent combination of education and experience.

Access to and/or works with sensitive and/or confidential information. Identify needs/concerns of others determine potential solutions resolve or redirect appropriately.

Resolve conflict negotiate or collaborate on major projects.

Handle sensitive issues and facilitate collaboration at the highest level.

Develop and maintain relationships with key contacts to enhance work flow and work quality.

Decisions have major implications on the strategy operational and business decisions that affect the department. Problems are varied requiring analysis or interpretation of the situation. Problems are solved using knowledge and skills and general precedents and practices.

Supervision of student clerical workers 4 CT11s serving as academic program coordinators and 1 CT9 serving a unit of approximately 50 tenure stream faculty 60 fixed term faculty and academic specialists.

Results are defined and existing practices are used as guidelines to determine specific work methods and carries out work activities independently; supervisor/manager is available to resolve problems.
