Job Summary


A Brief Overview
The Housing and Ancillary Services team manages 4940 student beds in 18 residence buildings as well as offcampus rental apartment and housing properties three dining halls numerous retail foodservice locations on campus the Donald Gordon Hotel and Conference Centre and Event Services. Residence buildings also provide temporary accommodations for the summer conference events and tourism and services from these units support vital student life programs and contribute to the Universitys learning environment. Queens Residence Life and Services is committed to providing an experience aimed at fostering the educational and personal growth of its residents. The Residence Life and Services staff team is dedicated to the development of the whole student promoting diversity accountability independence and success in a broader learning environment.

The Residence Admissions Assistant is a first point of contact for the office and handles a large volume of inquiries including answering phone calls emails and LiveChat as well as assisting visitors. The position supports the residence admissions process under the direction of the Manager Residence Admissions as well as provides direction support and information about policies and processes to students parents staff and faculty. It also provides critical administrative support to the Manager Residence Admissions. The Admissions Assistant is the first line in problem resolution escalating issues as necessary. This position also drafts and releases communications relating to residence admissions and administers the room change process with direction from the Manager Residence Admissions.

This position acts as a first point of contact for residence operations including answering calls and providing information on policies and processes. This position prepares and releases communications on residence operations. This position also recruits student volunteers for tours ensures keys are in place and sends payment requests for volunteers to finance.

The schedule for this position requires the incumbent to work frequent early mornings evenings and weekends according to program or area needs.

Job Description

What you will do

  • Acts as a first point of contact for residence operations including answering calls and providing information on policies and processes.

  • Acts as first point of contact for admissions including answering initial questions.

  • Recruits student volunteers for tours ensures keys are in place and sends payment requests for volunteers to finance.

  • Provides administrative assistance including scheduling meetings preparing correspondence and meeting materials taking minutes filing and recordkeeping and storage.

  • Prepares and releases communications on residence operations.

  • Updates residence website.

  • Attends recruitment events to provide information and promote residences.
  • Updates and edits communication templates regarding residence and conduct expectations.

  • Administers incoming firstyear applications withdrawals cancellations deposits and waitlists for residences.

  • Other duties as required in the support of the department and/or unit.
Required Education
  • TwoYear Community College Diploma.
    • in business administration preferred.
Required Experience
  • More than 1 year and up to and including 2 years of experience.
    • Experience working in a comparable clientfocused environment considered an asset

    • Experience with providing administrative support considered an asset (e.g. document editing proofing formatting and production data entry scheduling/coordinating meetings and/or travel arrangements receiving/relaying messages etc.).
Required Licenses and Certifications
  • Satisfactory Criminal Records Check required.

  • Vulnerable Sector Screening required.

Consideration may be given to an equivalent combination of education and experience.
