Job Description

Summary
The Project Coordinator provides administrative and operational support to project teams utilizing constructionspecific software and terminology. This role requires a strong understanding of construction processes and the ability to manage and implement procedures while fostering professional relationships with team members clients subcontractors and vendors. The Project Coordinator exemplifies and promotes the Neenans organizational culture in all interactions.
Key Responsibilities
Project Document Management
*Prepare process and distribute:
oSubcontracts Work Orders Consultant Services Agreements & Purchase Orders
oSubcontractor and Owner Change Orders
oInvoices and Pay Applications
oRequests for Information (RFIs) and Submittals
oAgendas Meeting Minutes
oDrawing Logs
oProject drawing updates
oRequests for Proposals (RFPs) to subcontractors
Project Support
*Manage the Construction Development Notification (CDN) process across all projects
*Assist with owner proposals including preparation and assembly of related documentation
*Develop Operations & Maintenance Manuals and support project closeout procedures
*Initiate and maintain project setup files and documents
*Ensure compliance with outofstate operating requirements
*Provide assistance with DavisBacon wage documentation
*Support Field Superintendent with safety documentation
*Provide support on Autodesk Build projects
*Manage electronic document distribution via DocuSign
Administrative & Interdepartmental Support
*Collaborate across departments to improve systems and processes
*Provide onboarding and training support for new hires
*Attend company and projectrelated meetings as needed
*Ensure consistency and accuracy in project documentation and internal processes
*Maintain confidentiality of sensitive personal and projectrelated information
*Build and maintain strong working relationships with stakeholders at all levels
*Balance and prioritize multiple projects and urgent requests
*Organize and synthesize information from various sources for formal distribution
*Flexibility to work in a hybrid environment with onsite support as needed


Qualifications
*Education beyond high school diploma preferred
*Proficiency in Microsoft Office Suite
*Experience with CMiC (or similar construction management software) Autodesk Construction Cloud Bluebeam and DocuSign preferred
*Strong grammar spelling and proofreading skills
*Familiarity with standard office equipment
*Ability to lift up to 25 lbs
*Strong written verbal and interpersonal communication skills
*Highly organized with strong multitasking and prioritization skills
*Selfmotivated with the ability to work independently and collaboratively
