Job Description

Position Description

As the Executive Assistant for the Protection Services Bureau you will play a vital role in supporting the Bureau Chief and senior staff. Your responsibilities will include managing schedules coordinating meetings handling confidential information and streamlining administrative processes to enhance the bureaus efficiency and effectiveness.

Duties and Responsibilities:

  • Serve as the primary point of contact for the Bureau Chief and senior staff managing communications and correspondence.
  • Coordinate and maintain schedules meetings and travel arrangements for leadership.
  • Prepare and edit documents reports presentations and briefing materials.
  • Organize and maintain electronic and physical filing systems ensuring security and accessibility of sensitive information.
  • Assist with budget tracking procurement and expense reporting.
  • Serve as a liaison between the Bureau and internal/external stakeholders ensuring effective communication and collaboration.
  • Manage the logistics for training sessions workshops and conferences.
  • Handle confidential and timesensitive information with professionalism and discretion.
  • Perform other administrative duties as assigned to support the mission and operations of the bureau.

Requirements

  • Strong organizational skills and attention to detail with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint Outlook) and other relevant software tools.
  • Professionalism and discretion in handling sensitive information.
  • Ability to work independently and collaboratively in a fastpaced environment.
  • Strong problemsolving and criticalthinking skills.
  • Exceptional time management and organizational abilities.
  • Commitment to the mission of the Protection Services Bureau.
  • Must pass the Clerical Skills Test with a minimum score of 70% and a typing speed of 30 w.p.m. with 90% accuracy.

Automatic Disqualification:

  • Convictions probation or deferred adjudication for any Felony and any Class A Misdemeanor.
  • Convictions probation or deferred adjudication for a Class B Misdemeanor if within the previous 10 years.
  • Open arrest for any criminal offense. (Felony or Misdemeanor)
  • Family Violence conviction.
