Job Description

Main Responsibilities

Publications documents and web pages

  • Prepare reports for release as OECD publications (using the appropriate template ONE Author and following the OECD style guide); and other highlights and briefs documents; prepare and publish EDU working papers on the OECDs internal publication platform and the OECD website. This includes preparing the publications or other documents layout proofing of documents and texts for quality assurance and the formatting/editing of tables and graphs.
  • Liaise with OECDs Directorate for Communications (COM) and EDU communications staff in connection with the preparation release and dissemination of reports.
  • Prepare official documents (e.g. discussion papers agendas summary records) using the appropriate template ONE Author and where necessary for submission to OECDs internal documents platform ONE Members and Partners.
  • Manage and update several communication platforms used by projects: Website ONE Communities and eShare site.
  • Facilitate communication and information sharing between projects and participating countries international agencies and individual experts.
  • Monitor electronic communications contact lists and Webbased information related to projects in coordination with other EDU staff COM and external partners.

Meeting Organisation and missions

  • Participate in the planning and organisation of internal external and official meetings with representatives of countries other international agencies education stakeholders and individual experts. This includes setting up videoconferences webinars and other virtual meetings formatting and posting of documents and presentation materials registration of participants meeting logistics translation requests and liaising with delegations and conference services as needed.
  • Prepare and process missions for staff and external experts including travel arrangements and visa applications processing of mission orders and liquidations.

Administrative assistance and office coordination

 

  • Provide project support by participating in and documenting team meetings; monitoring and implementing corporate and directorate policies and procedures; orienting and training new intern and temporary staff.
  • Support the projects team in managing Voluntary Contributions (VCs) including the communication and review process with other OECD units (DSU PBF and LEG) as agreed upon with the project manager.
  • Manage contractual arrangements with service providers invited experts and consultants for the project.
  • Carry out the full range of standard secretarial duties: maintain appropriate filing systems; prepare internal and external correspondence in English and French; draft routine correspondence on own initiative; and organise visits and welcome visitors and delegates.
  • Participate in OECD EDU and specific division initiatives to improve administrative practices and identify more efficient ways of working in the Division.

Qualifications :

Ideal Candidate Profile

Academic Background

  • A higher education degree in a relevant field and/or office administration and secretarial studies.

Professional Background

  • Proven experience in performing similar functions preferably in an international context.
  • Good knowledge of the administrative rules and procedures of the Organisation in particular with respect to missions voluntary contributions preparation of OECD documents and organisation of meetings or the ability to acquire this knowledge quickly.
  • Ability to communicate effectively orally and in writing in a multicultural environment with colleagues at all levels and with country Delegations and highlevel stakeholders.

Tools

  • Excellent command of and experience in the use of Microsoft Office Suite (Word Excel Outlook PowerPoint) and a range of OECD software packages e.g; SAP Missions Event Management System Conference Reservation Management System O.N.E SRP and ability to quickly learn other software packages.

Contract Duration

  • This vacancy will be used to fill multiple positions. The appointment type will be determined based on the needs of the Directorate and will be confirmed when an offer of employment is made to the selected candidate.
