Wells Fargo is seeking an Executive Specialist who will provide a high level of professional support which includes a balance of senior executive level administrative work as well as ongoing ad hoc project/business initiatives such as planning meetings tracking deliverables and pulling routine reports.
In this role you will:
Perform heavy calendaring complex travel planning extensive document creation/editing and preparing expense report submissions
Meet logistics and preparation managing invitations and facilities and providing detailed data information and resources to leader and participants
Handle all personnel and confidential company materials with sensitivity and discretion
Responsible for drafting complex and/or confidential correspondence
Establish and implement office procedures and controls
Acts as an information source on group and company policies
Responsible for facilities support floor administration some space planning
Onboard new team members
Coordinate facilities support floor administration space planning
Develop excellent relationships with peer Executive Assistants and coordinate team admins across functions
Heavy scheduling of appointments with senior level executives and interacting with their executive support staff.
Leverage strong interpersonal and social communications skills to interact by Teams and email and resolve scheduling conflicts.
Prepare reports and presentations using MS Office applications internal databases and external resources.
Support the distribution of internal communications and manage related distribution lists
Assist with invoice processing with knowledge expense policies
Review correspondence reports memos and presentations including responsibility for proofreading editing and quality control. Some composition of correspondence will be required as well.
Required Qualifications:
2 years of Executive Administration experience or equivalent demonstrated through one or a combination of the following: work experience training military experience education
Desired Qualifications:
Experience as an Executive Assistant within the financial services industry
Experience supporting senior level leaders/executives
Experience supporting multiple managers with calendar management travel arrangements scheduling of meetings events and onboarding
Experience with Wells Fargo systems such as Workday Talent Management HRG My Concur
Experience writing and editing internal communications including corporate and executive level communications
Experience with synthesizing data from multiple sources and presenting it in appropriate formats
Experience reviewing and preparing expense reports for leaders
Advanced Microsoft Office (Outlook Excel Word PowerPoint LiveMeeting and SharePoint) skills
Ability to develop partnerships and collaborate with other business and functional areas
Ability to execute in a fast paced high demand environment while balancing multiple priorities
Ability to take initiative and work independently with minimal supervision in a structured environment
Strong organizational multitasking and prioritizing skills
Strong time management skills and ability to meet deadlines
Ability to deliver concise time critical information to all levels of management technology and business teams
Ability to leverage problem solving and advanced judgment skills to make decisions in situations where there are no established procedures
Ability to be flexible and adjust plans quickly to meet changing business needs
