Job Description

Description of Work

We value our employees and are committed to providing flexibility in work schedules. This position qualifies for teleworking on a parttime basis as part of the State Telework Program.

This is an INTERNAL POSTING open ONLY to current the NC Department of Public Safetys current employees and eligible RIF candidates.

This Administrative Specialist II position assists the Disaster Recovery team in carrying out the North Carolina Office of Recovery and Resiliency (NCORR) program policy and administrative activities. The Administrative Specialist will work closely with leadership providing support and serving as a representative to both internal and external parties. The position reports to the Disaster Recovery Operations Manager.

Specific responsibilities include:

Administrative Support
  • Provides administrative support to the Disaster Recovery Operations Manager carrying out administrative duties such as filing copying scanning record keeping and calendar management including scheduling meetings with internal and external partners.
  • Provides time and effort recordkeeping assistance generates reports and composes and editing correspondence for the team.
  • The incumbent in this position will be requested to learn understand and assist in administrative tasks as it relates to processing program reviews data collection and analysis agenda and presentation development and meeting coordination. Review and comprehension of Disaster Recovery program policies and procedures will be required to complete tasks accurately.
  • Assistance with internal team coordination and crosscollaboration with other NCORR teams will be requested. This is inclusive of drafting and sending emails before and after a meeting documenting action items and ensuring deadlines are being met.
Composition and Reporting
  • Independently compose and draft letters memorandums and reports for review and signature approval by the manager. These often include Department of Public Safety officials employees members of the general public and other individuals or groups.
  • Respond and answer routine correspondence on behalf of the manager with a minimum or no instruction.
Correspondence may be routine in nature or confidential and varies from routine to urgent. Documents are prepared using guidelines provided in current policy and directives and may require research before the document can be completed. On occasion this position will compose correspondence to other Division staff for their signature depending on the nature of the correspondence.

Customer Service
As part of administrative responsibilities this position will serve as an applicant services liaison.
  • Interacts with homeowners to gather information to coordinate customer service efforts.
  • Answers incoming calls electronic messages and other sources regarding homeowner questions and needs. Fields incoming complaints triages phone calls and routes them to the appropriate staff.
  • Screens and responds to inquiries within program guidelines; ascertains priority schedules and coordinates and followup with customers.

The employee in this position must maintain sensitivity when dealing with individuals from a wide variety of backgrounds and cultures; exemplifies openness objectivity and seeks to understand issues from different perspectives; articulates the understanding of what lead to a complaint the nature of the complaint and methods for resolution.

Minimum Education and Experience Requirements

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
