Job Description

Overview

Perform standard generally noncomplex office duties under close supervision. Supervisor generally determines work priorities provides detailed instructions and reviews completed work. Meet and greet parents and students. Answer and direct phone calls. Responsible for ensuring adherence to all emergency and safety procedures for visitors to the program. Type various correspondence reports and file. Provide secretarial receptionist and clerical support as well as coverage for office staff as required.

Responsibilities

Primary duties and responsibilities include but not limited to:

General Professional Duties:

  1. Meet and greet parents students and outside visitors.
  2. Answer and direct phone calls.
  3. Type various reports and correspondence.
  4. File as needed.
  5. Coordinate bulk copying as needed.
  6. Perform data entry as needed.
  7. Maintain staff contact information.
  8. Responsible for daily incoming and outgoing mail.
  9. Cover for vacation and other absences of office staff.
  10. Provide minor tech support as needed.
  11. Assist office staff as required.

Specific Professional Duties:

  1. Maintain updated attendance records of staff and students for emergency procedures.
  2. Ensure that school safety procedures are implemented for all visitors to the program.
  3. Responsible for inputting information into digital filing system for all students.
  4. Provide backup for attendance bussing and transportation.
  5. Update and maintain program phone extension information.
  6. Maintain all emergency contact information for classrooms and ensure that they are displayed by all phones
  7. Ensure that all staff mailboxes are kept current.
  8. Maintain schedule for parent trainings and ensure that rooms are set up for training staff development and staff meetings.
  9. Maintain video feed and monitor daily.
  10. Perform other related duties as requested by supervisor.

  2. Participate in activities and seek support to enhance knowledge in areas pertinent to students in the school.
  3. Attend and participate in required inservices and staff development in an appropriate manner.
  4. Attend and participate in supervisory sessions as requested.

Adhere to General Policies of the Organization/Regulators Including:

  1. Code of Ethical conduct.
  2. Emergency/disaster preparedness protocols.
  3. Fire/safety prevention protocols.
  4. Inservice education program requirements.
  5. Policies and procedures (attendance punctuality appearance professional attitude etc.)
  6. Jobrelated selfdevelopment education activities.
  7. Infection control practices and procedures.
  8. Annual physical examination and Mantoux testing.

Performs Other Related Duties as Required:

  1. Demonstrate understanding of the needs of students and visitors for each specific age group.
  2. Maintain child family and employee confidentiality.
  3. Be consistently courteous and considerate in person on the telephone and in interactions with children and others such as family visitors vendors and other employees.
  4. Exhibit At Your Service attitude i.e. smiles uses positive eye contact and is friendly open and approachable.
  5. Respond quickly to student and/or parent/guardians request refers to appropriate member of the care team if necessary and informs supervisor of actions taken.
  6. Promote positive coworker relationships teamwork and cooperation. Work collaboratively and be respectful of others.
  7. Demonstrate flexibility as well as the ability to handle numerous responsibilities.
  8. Take individual responsibility for providing outstanding quality of service.

Qualifications

  • High School diploma or equivalent required.
  • At least one (1) year prior secretarial/receptionist experience preferred.
  • Must be detailed oriented proficient in Microsoft Suite applications and possess good communication and organizational skills.
