The Mailroom Clerk role is responsible for the efficient handling of all incoming and outgoing mail and courier services ensuring timely distribution. This role involves coordinating with postal agencies and overnight mail couriers and overseeing the maintenance of the photocopy room including supply orders and equipment servicing. The ideal candidate will be proactive in building relationships to ensure the efficient distribution of mail and supplies while maintaining accuracy and timeliness in all tasks.
Key Responsibilities:
- Operate mailroom equipment including folder/inserters and postage machines while ensuring proper functionality and maintaining necessary supplies.
- Receive sort and distribute all inbound mail courier envelopes and packages efficiently.
- Prepare and dispatch outgoing mail and packages by selecting the appropriate shipping method weighing mail and ensuring correct postage and shipment documentation.
- Maintain strong vendor relationships with courier services such as FedEx UPS and US Postal Services resolving any service issues promptly.
- Track trace and follow up on lost or delayed shipments ensuring resolution with employees.
- Monitor and maintain photocopy room supplies including paper toner envelopes and other consumables.
- Ensure office printers and copiers are in working order and place maintenance requests as needed.
- Assist with office organization inventory management and general adhoc tasks as required.

- Proficiency with mailroom equipment shipping software and tracking systems.
- Excellent verbal and written communication skills.
- Strong organizational and timemanagement skills with the ability to multitask in a fastpaced environment.
- Excellent attention to detail and problemsolving skills.
- Effective communication and relationship management skills for coordinating with employees and external vendors.
Requirements:
- Previous experience in a mailroom shipping/receiving or administrative support role is preferred.
- Ability to lift and move packages as required.
- Proficient in basic computer tasks with a solid understanding of Microsoft Outlook.
- Valid drivers license and access to a vehicle required.
