Description

We are currently looking for an Events Manager to join our Marketing function within the Enablement group.

This is a fulltime opportunity on a 12 monthfixed term contract (Maternity Leave)basis. The role will be based in 10 South Colonnade Canary Wharf London E14 4PU. Please note that there might also be a requirement to travel to South Mimms Hertfordshire or other locations as appropriate. May be expected to work unsocial hours on occasions with time off in lieu e.g. to support be aware that this role can only be worked in the UK and not overseas.

Government departments and agencies are working towards implementing a minimum 60% attendance in office sites.

We are currently implementing a flexible hybrid way of working with a minimum of 8 days per month working on site to enable the collaboration and contact with partners and stakeholders needed to deliver MHRA business. Attendance on site is driven by business needs so depending on the nature of the role this can flex up to 12 days a month with the remainder of time worked either remotely or in the office. Some roles will need to be on site more regularly.

The MHRA Communications and Enablement group is a multiawardwinning team that has a consistent trackrecord of achievement and providing value for money. Our focus is to support the agency to deliver its business outcomes by putting patients and the public at the centre of all our work. We are organised in the following functions: News and Media Communications Patient and Public Stakeholder Engagement and Customer Experience. This role is in our Marketing team within the Communications function.

The role sits in the Marketing team which is responsible for developing and protecting our brands; developing and delivering marketing plans and activities that drive patients customers stakeholders and partners towards our products and services; managing customer research data and insight projects that inform our strategies and activities; developing and delivering our incomegenerating eventsprogramme. We work closely with other teams and functions across the Communications and Engagement group and the wider organisation to deliver on our goals.

Whats the role

The Events Manager will plan and efficiently implement our events programme comprising costeffective impactful inperson hybrid and virtual events exhibitions and speaker opportunities to ensure we meet our income and engagement objectives and consistently exceeds delegates expectations.

They will promote our events using web email and social media channels use innovative technologies to deliver an optimised delegate experience fully evaluate the impact of our events and support the Events Lead to develop new events and respond to queries.

Key responsibilities:

  • Analysis and planning: Source industry trends delegate feedback and competitor event performance to support the Events Lead to identify opportunities for new events that support our strategic income and engagement objectives. Plan engaging inperson hybrid and virtual events exhibitions and speaker opportunities that meet or exceed objectives and delegate expectations.
  • Event development and delivery: Develop highquality event project plans with clear objectives and deadlines efficiently coordinating input from senior colleagues operational teams partners Communication and Engagement group colleagues and suppliers to ensure the delivery high quality onbrand inperson virtual or hybrid events that exceed delegates expectations. Consistently apply our standard operating processes (finance approvals speaker policy brand clearance and partnership contracts) deliver to deadline and respond to queries from operational teams.
  • Event marketing and execution: Develop and implement effective event marketing plans with clearly defined and segmented audiences utilising email social media and website channels. Develop and coordinate delivery of event collateral (website content graphics brochures programmes stands banners merchandise and graphics) including all delegate communications before during and after the event (including all registration materials the recording captioning markingup and proofing of event recordings and managing edits with suppliers and coordinating publication). Identify and mitigate any risks to event delivery escalating when required.
  • Optimisation and evaluation: Track and report the performance of each event against objectives effectively manage event budgets and keep track of costs. Monitor the performance of event marketing activities employing a test and learn approach to email and social media channel effectiveness and include results and recommendations in evaluations. Manage responses to delegate queries feedback and relevant pre and postevent surveys.

  • Experience: Demonstrable experience of planning costing marketing delivering and evaluating impactful and costeffective inperson hybrid and virtual events exhibitions and speaker opportunities on budget and to deadline for a range of different audiences.
  • Technical: Knowledge of how to project manage a programme of income and nonincomegenerating events conferences exhibitions and speaker opportunities including the creation of event plans finance trackers marketing plans and event briefings.
  • Technical knowledge: Practical knowledge of how to deliver events exhibitions and speaker opportunities to achieve objectives including: inperson (e.g. venue searching selection dressing and logistics); virtual (e.g. webinar and delegate engagement platforms including MS Teams Zoom GoTo Webinar Eventbrite) and; hybrid (e.g. physical venue and digital platform). Promoting these events (email and social media marketing) coordinating all delegate communications before during and after the event (including all registration materials the recording captioning markingup and proofing of event recordings and managing edits with suppliers and coordinating publication); and developing and evaluating the performance of events against objectives KPIs ROI or other metrics and liaising with relevant suppliers.
