mission:

The Condominium Association Assistant Manager assists in overseeing the daily operations of a residential condominium community. This position supports the General Manager in administration of condominium operations including property maintenance office administration coordinating services and enforcing policies to ensure a highquality living environment.

SCOPE OF WORK TEAM

  • Reports to the General Manager.
  • Aids in establishing a positive relationship between OLS and the property owners.
  • Maintains open channels of communications for all levels (line employees through General Manager) and monitors employee relations.
  • Ensures all required licenses permits contracts insurance inspections are in proper order with the assistance of Controller.
  • Establishes and maintains positive civic community governmental and local business contacts.
  • Ensures the prompt and proper submission of all corporate divisional and governmental reports required.
  • Participates in Manager on Duty program requiring weekend stay over continuous monitoring throughout the condominium troubleshooting and offering assistance in solving any problems that may arise.
  • Perform special projects and other responsibilities as assigned. Participate in task forces and committees as required.

RESPONSIBILITIES

Administrative Support:

  • Maintain accurate records of all resident information maintenance schedules and community events using property management software system.
  • Prepare and/or update SOP documents covering all property operational procedures.
  • Assist General Manager to prepare management reports.
  • Supervise & mentor administrative team.

Maintenance Facilities Management:

  • Coordinate maintenance requirements with the appropriate service providers contractors and property maintenance employees.
  • Perform regular property inspections to identify areas that need repair or improvement.
  • Schedule & track preventative maintenance work using property management software.
  • Supervise & mentor maintenance team.

Resident Services:

  • Serve as a point of contact for residents addressing inquiries concerns and requests in a timely and professional manner.
  • Facilitate resident orientation providing new residents with community rules policies and contact information.
  • Coordinate moveins and moveouts ensuring adherence to building protocols.
  • Monitor and ensure cleanliness and safety of common areas.

Compliance Policy Enforcement:

  • Support the enforcement of condominium rules regulations and bylaws.
  • Issue reminders or violation notices as needed and follow up with residents to ensure compliance.
  • Assist in organizing and coordinating association meetings and events.

Financial Budgetary Duties:

  • Assist General Manager in managing the associations budget.
  • AP Coding & processing invoices and tracking expenses.
  • Assist the General Manager with the preparation of budgets and monitor budget performance throughout the year.
  • Accounts receivable (maintenance fee) management reporting & collections.
  • Track and document expenses related to maintenance and repair projects.

Communication Community Relations:

  • Support the General Manger in communicating important updates events or changes to residents.
  • Facilitate regular meetings with residents to gather feedback and address community needs.
  • Represent the association in a professional and positive manner at all times.
  • Preparation of quarterly owners newsletter.

Qualifications

EXPERIENCE:

  • Prior Experience:
    • 13 years of experience in property management customer service or administration; experience in a condominium or homeowners association setting is a plus.
  • IT Expertise:
    • Advanced knowledge of computer software (including Microsoft Office outlook) and web analytics tools is preferred.
  • Education:
    • High school diploma or GED required; associate or bachelors degree in property management business administration or a related field is preferred.
  • Subject Expertise:
    • Ability to effectively deal with internal and external customers some of whom will require high levels of patience tact and diplomacy to defuse anger and collect accurate information and resolve conflicts.
    • Requires advanced knowledge of the principles and practices within the sales/marketing/condominium profession. This includes experiential knowledge required for management of people complex problems and efficient sales activities.
    • Makes decision within the standards of the position which can impact more than one department. One general policies and procedures are available for guidance and superior is kept informed only of general directions of assignment.
    • Requires analyzing activities or information involving some original data manipulation or interpretation to arrive at logical conclusions.
    • Must possess highly developed communication skills to frequently negotiate convince sell and influence other managerial personnel resident(s) and/or corporate clients.
    • Requires the exercise of considerable managerial skill as position involves frequent decisions meeting of deadline negotiations of contracts of vendors analytical ability and the planning organization development and coordination of largescale work projects.

OTHER EXPECTATIONS:

  • Abide by payroll policies procedures and rules of conduct as stated in the Springboard Hospitality Associate Handbook.
  • Demonstrate a working knowledge of all company safety and security procedures.
  • Knowledge of state and local property management regulations.
  • Travel required: As needed for condominium needs.
  • Hours Required: Must primarily work during Springboard Hospitality business hours Monday Friday 8am 5pm (HST) while understanding that the condominium business functions 24/7 and flexibility to work occasional evenings or weekends for meetings or emergencies maybe required.
