The Operations Manager will provide logistical and administrative support to the Center for Career Development team and the Director of Fellowships and Graduate Studies; plan and assist with all logistical aspects of CCD student engagement events experiential programs and marketing.
Major Areas of Responsibility
Manage Crusader Internship Fund (CIF) application and stipend award process
Receive student intake form and monitor student progress through stipend application process
Monitor financial need information and other data for funded students
Confirm funding amounts for each student and communicate with students throughout the process
Process stipend paperwork for all funded internships
Maintain funded student records and report on demographic data of CIF recipients
Provide CIF Orientation and Send Off materials to students
Oversee CIF website updates to ensure accurate information for students
Serve as the main point of contact for employers and students with questions regarding CIF
Label counselor for summer tracking and compile intern start and end dates
Manage Fulbright interview process for the Director of Fellowships and Graduate Studies
Book interview and meeting rooms for Fulbright interviews
Complete and submit Director of Fellowships and Graduate Studies expense reports
Event Support and Management
Provide administrative support for CCD events and programs including workshops career fairs networking nights career panels and special events
Reserve rooms order technology and equipment and order catering for programs and events
Book student transportation for offcampus events
Ensure events are highlighted in various calendars including CCD Google Calendar Handshake MyHC and Ignite
Create nametags table tents and rosters for events
Compile handouts reports and materials for events
Support data management for CCD reporting
Ensure student/alumni utilization of services (dropins appointments workshops groups and special events) is properly and accurately recorded in Handshake and prepare reports
Track student and campus partner utilization of interview rooms and CCD space
Generate utilization reports as requested
Record assessment data and prepare summary reports
Assist with data collection data scrubbing and report generation for the report on the graduating class
Point of contact for administrative systems and vendors
Serve as point of contact for internal administrative systems and offices including purchasing facilities (FAMIS) Graphic Arts Uber for Business
Serve as point of contact for vendors
Prepare direct payment requests and maintain files
Manage CCD Operations
Oversee CCD events calendars ensuring event and programming coordination coverage support and publicity
Manage interview room and conference room scheduling
Manage student engagement teams calendars: dropins events programs
Administer and print Strong Interest Inventory reports for students and counselors
Provide general office support services for the Center for Career Development
Manage and post content to digital sign
Arrange for printing for reports flyers newsletters and brochures
Maintain inventory of supplies and handouts and reorder as needed
Place maintenance and facility requests
Serve as a resource for students employers and alumni regarding CCD programs services and resources Fellowships and Graduate Studies and Health Professions Advising
Respond knowledgeably to inquiries about CCD Fellowships and Graduate Studies and Health Professions Advising programs services and resources in a welcoming manner
Greet students/visitors answer phones and direct inquiries
Open direct and/or respond to emails in the CCD email account (emailprotected)
Open and direct office mail
Monitor and approve student appointment requests in Handshake and respond to student and alumni appointment inquiries outside of Handshake
Demonstrate assist and troubleshoot students in the use of Handshake
Provide backup for the Employer Engagement Specialist in that individuals absence
Minimum Qualifications
High School diploma required 2 3 years of related experience.
Strong skills in all Google suite applications including Mail Calendar Docs Sheets Forms and Drive
EMSEvent Management System scheduling
Experience with webbased platforms (ie Handshake Peoplegrove Workday)
Strong interest in working with undergraduate liberal arts students at a Jesuit institution
