Job Description Summary
Under limited supervision serves as Education Coordinator for the MD and APP fellowship programs the Division of Hematology Oncology. Coordinates the MD fellowship program in compliance with the Accreditation Council for Graduate Medical Education (ACGME) guidelines; coordinates the fellowship application and evaluation process; creates and maintains databases; compiles and distributes various schedules; tracks data and information related to fellows training and education submits reports to various offices and monitors regulatory compliance. Coordinates the APP fellowship program in compliane with the curriculum as set forth by the APP Best Practice Center.Entity

Job Description
Job Duties:
35% MD Fellowship Program Administration:
Coordinates all administrative aspects of Hematology Fellowship Program.
With minimal supervision coordinates the Hematology Oncology Fellowship Program activities including recruitment fellow meetings travel annual schedules license renewals reports for ABIM and ACGME. Prepare Hematology Oncology fellowship correspondence and maintain paper and data files on current and part trainees communicating closely with the MUSC GME office. Manages the onboarding process for new fellows.
Works closely with Center for Global Health personnel to ensure that all international fellows have current and accurate ECFMG and Visa classification. Works with all international faculty and staff to ensure all Visa paperwork and processes are completed timely.
Responsible for compiling all clinic rotations into one monthly calendar (medical students residents APPs student learners fellows and attendings)
Ensures the following MUSC Hematology Oncology Fellowship program sites are updated and accurate: MUSC ACGME AAMC ERAS NRMP NBME AMA.
Coordinates the Fellow and Fellowship Program evaluation process.
Coordinates Hematology Oncology Fellow Conference schedule this includes collaborating with the associate program director to build the calendar for the upcoming year and coordinating with external and internal speakers.
Monitors clinic and rotation schedules to ensure accuracy in Qgenda and Simon Paging
Processes all fellowship procurement (lab coats education supplies conferences).
35% MD Fellowship Recruitment:
Coordinates the fellowship recruitment and onboarding process. Corresponds with over 400 applicants regarding interviews.
Prepares interview and orientation information packets and certificates.
Responsible for the pre interview process to include gathering data from ERAS and helping to identify potential candidates to interview.
Responsible for the interview process to include scheduling all interviews with faculty and fellow candidates and ensuring evaluations are received.
Creates presentations for Fellowship Director to be given during interviews and orientation.
Manages the onboarding process for new fellows.
Manages all special events for the fellowship program including all financial and logistical aspects including contracts venue selection and catering. Ensure special events are meeting budget.
25% APP Fellowship Admin:
Coordinates all administrative aspects of the Division of Hematology APP fellowship program including recruitment annual rotation schedule and lecture schedule and ongoing administrative needs
In conjunction with the APP manager and APP leads creates the APP fellowship clinical rotation schedule
Responsible for creating monthly lecture calendar and coordinating in person lectures with the guest speakers
Works with the APP Best Practice Center to facilitate enterprisewide fellowship requirements.
Coordinates the APP fellowship evaluation progress to track fellowship progress and performance
Works with APP Manager and APP Leads to ensure a curriculum is in place for each APP fellowship rotation
Coordinates all aspects of the APP fellowship recruitment process to include APP Best Practice Center approval job posting paperwork coordinating interviews and communication with the fellowship candidates and hiring the APP fellows.
Responsible for onboarding new APP fellows to include updating scopes of practice DEA SC DHEC divisional orientation and APP Best Practice Center orientation
Manages APP fellowship teams channel
Coordinates special events for the APP fellows
Maintain communication with fellows mentors and other relevant stakeholders
5% Financial Management:
Special Events: Coordinates the budget and expenditures for all the fellowship programs special events and ensure timely payment to all participants and vendors.
Education: Coordinates all the fellowship programs procurement onetime payment and quarterly budget meetings.
