Responsibilities

As an Events Lead with Hines you play an essential role in promoting a sense of community in the workplace through interactions shared spaces resources events and amenities. The Events Lead is responsible for leading a team to coordinate and deliver a variety of clientfacing events. They will serve as the liaison between event hosts key service delivery partners and the facilities management team to ensure events are successful safe and welcoming for all participants. Responsibilities include but are not limited to:

Event planning and coordination

  • Coordinate inperson virtual and hybrid events.

  • Oversee the event planning and coordination process.

  • Collaborate with client partners and other service providers to support highprofile activities.

  • Provide event hosts with information on spaces and available options; Recommend valueadd options and services to business unit event planners.

  • Oversee the collection of events requirements ensuring all needs are captured prior to the event.

  • Provide onsite event space set up and support on the day of the event including evening and weekend events.

  • Communicate and interface with technical teams regarding audiovisual setup needs; Provide troubleshooting and setup assistance as needed.

  • Serve as an ambassador for the client brand and promote a positive brand image.

  • Coordinate with partners and service providers to resolve issues.

  • Report on service activities and program operations.

  • Assist with the development and management of the program budget and annual plan.

Relationship development

  • Develop and maintain ethical and courteous relations with clients occupants landlords and service partners.

  • Work crossfunctionally with training teams spacespecific teams onsite security and other vendor partners to ensure collaborative planning and execution of events.

  • Communicate regularly with customers regarding status updates and service requests ensuring that all requests are handled promptly professionally and services are tailored to the individual.

  • Develop a network of service vendor partners while maximizing utilization of preferred vendors and the level of spending with Minority/Womenowned Business Enterprises.

Work and knowledge management

  • Oversee the management and maintenance of event space and supply inventories.

  • Oversee and conduct periodic inspections to maintain the functionality and aesthetic integrity of event spaces and equipment.

  • Ensure all work is properly recorded in the system of record.

  • Ensure eventsrelated work orders are resolved in accordance with contractual expectations.

  • Contribute to the account knowledge base and ensure knowledge remains up to date.

Team leadership

  • Supervise assigned personnel.

  • Ensure all program staff meet training requirements.

  • Promote a culture of diversity and inclusivity for all team members.

Qualifications

Minimum Requirements include:

  • High school diploma or GED from an accredited institution required.
  • Bachelors degree from an accredited institution preferred.
  • Five or more years of experience working in events arts entertainment and/or hospitality.
  • Experience with project management and work ticketing software.
  • Event planning experience with a focus on logistics and operations.
  • Promoting positive employer branding.
  • Assuring a safe environment for work.
  • Interpersonal and communication skills.
  • Ability to develop positive relationships.
  • Commitment to hospitality ensuring that all actions contribute to a positive customer experience.
  • Strict adherence to nondisclosure agreements and a high degree of confidentiality.
  • Ability to comply with client health and safety protocols.
  • Ability to manually lift 35 lbs.
  • Ability to climb up and down stairs access restrictive openings and perform emergency procedures.
  • Use olfactory auditory and visual senses to inspect buildings and detect emergency alarms.
  • Be flexible and available to support afterhours activities as required by the client.
