SUMMARY:
The Human Resources Coordinator is responsible for entering new employee information into SAP and for processing employee master data changes in a timely and accurate manner for all five (5) Ontario Distribution Centres unionized employees. This position is responsible for all SAP Data Entry for nonunion employees at the Distribution Centres. This position is also responsible for interacting with representatives from Service Canada when required. Other duties include: acting as backup for the Payroll Supervisor Administration Distribution Centres including supervision of department staff and resolving day to day issues. The position creates weekly reports to ensure communication is accurately provided to the Pension Benefits Payroll Montreal and Distribution Operations departments as well as reports required for regularly scheduled audits.
SPECIFIC RESPONSIBILITIES:
Daily processing of SAP employee maintenance such as: new hires (including Letters of Offer via Metro Talent) terminations permanent/temporary change of position address changes Part Time to Full Time and Full Time to Part Time. Including reports and communication to appropriate recipients. For Orientations includes weekly travel to pick up hire paperwork.
Swipe Cards enter new profiles weekly in Asure ID system.
Process weekly rate changes for Toronto & Ottawa hourly empmloyees these are reviewed to ensure the data is correct and make corrections in SAP where applicable. Spot check Kronos to ensure new rates interfaced correctly.
Tracking of employees on leave and ensuring leave or return from leave is processed and appropriate paperwork with approval signatures is completed.
Process LOA transactions in SAP including ESA leaves or personal for nonunion.
Monitors multiple mailboxes for paperwork or queries for new hires terminations EPay queries payroll rejects for non union
Safety Shoe entry in SAP for nonunion
Infotype 19 Report weekly and distributed to appropriate clerk takes care of nonunion and Ottawa along with Payroll Supervisor
Along with Assistant Manager ensures that all Payroll and HR administrative transactions are authorized with appropriate approvals and meet Internal Audit standard. This includes IT14relief pay and IT32building
Service Canada Answer all inquiries from Service Canada and supplying necessary documentation to support ROE. Including completely quarterly surveys with assistance of Assistant Manager HR.
Tracking of employees with 900 Series SIN and Work/Study Permits and ensuring that we are in compliance and that up to date work permits are on file at all times. This includes auditing and updating report spreadsheet sharing with Sr Payroll Clerks to communicate with their assigned facilities. Contact DCs for updated permits for nonunion employees.
Customer service responds efficiently to internal customer needs and ensures payroll and human resources systems and reporting integrity is met for Toronto and Ottawa distribution centes. Internal clients include all administrative professional and mangement staff and union employees.
Ensures an effective onboarding process for union employees which includes the orientation sessions and accurate processing of onboarding documentation. Onboarding for Nonunion employees including probation documents follow up via email signing bonus & salary increases.
Responsible for accurate processes to ensure up to date on time and accurate system updates for various leaves to support the dc quarterly attendance reviews.
Back up to Payroll Supervisor for reviewing and processing all Ottawa DC grievance settlements (withdrawn/acceptances resolutions and / or attendance record changes as a result)
Back up to payroll team to prepare cash advance cheques as required per Collective Agreement for both Toronto and Ottawa Distribution Centres. Ensure weekly and period reports are created and audited for Finance Toronto and Treasury Department Montreal.
Assist Assistant Manager for implementing administrative/System changes as a result of Contract Ratifications for Ontario DCs. This includes testing of new scales lists of those entitled to lump sum payments during term of CBA processing mass maintenance in SAP of rate changes retroactively.
Back up relief for Distribution Payroll Clerks including processing labour sheets answering payroll inquiries.
Responsible for Master Data Changes and 52109 protocols for Distribution Centres. Includes weekly rate changes Control Report Payroll Reject Reports Infotype 19 reminders work/study permits etc.
Responsible for opening Service Now Tickets for SAP PHR or Metro Talent issues pertaining to HR Distribution Centres.
Assist Assistant Manager HR in the creation of Vacation Entitlement Report for all unionized employees and distributed to appropriate Management for creation of DC vacation charts.
Responsible for filing performance check ins & annual reviews for nonunion.
Weekly distribution of Human Resource reports to Pension Benefits Payroll and Distribution Operations.
Responsible for the issuance of various internal reports (weekly quarterly annual) to internal clients and union partners.
Upon request issue letters of employment to employees and confirmation of employment by phone.
Daily/yearly maintenance of all Full Time and Part Time master employee files for active and terminated union distribution employees.
Assist with any department projects
QUALIFICATIONS:
College Diploma Human Resources Management. CHRM/CHRP an Asset. CPM Payroll Certification is an asset.
35 years relevant work experience
Experience with Unionized environment is an asset.
Excellent oral and written communication skills including good interpersonal skills time management and planning and organization skills.
PC SkillsMicrosoft Office including Excel Word Outlook and Powerpoint. Knowledge of Kronos (Time & Attendance) and SAP is an asset.
Solid mathematical and calculator skills. Strong computer skills.
Ability to interpret and understand Collective Agreements Company policies and relevant Government legislation.
Professional at all times and maintain utmost confidentiality of employee information and records.
Must be able to prioritize and multitask as the incumbent must adhere to strict deadlines with constant interruptions.
Must be able to problemsolve and work independently.
Handles high stress situations in a professional manner.
Proven ability to coach mentor retain and motivate a team.
