Scanning and uploading of Supplements in:
o Alchemy
o Epicor
Ensure that the Released supplements are logged in the CS Log for Shipping reference.
Ensure that all Customer Service uploaded files (except pictures) are saved in the Customer Service Back Up Folder for reference and easy retrieval in case of a system breakdown/failure.
Maintain physical records of the above documents ensuring easy retrieval. The Batch/Folder should be labeled and dated.
Send a monthly summary of EAF (Error Acknowledgement Form) to the PIC (PersonInCharge) of the departments concerned.
When the department concerned replied and returned the filledout EAFs upload them in Alchemy.
Creation of SOA (Statement of Accounts) in Epicor.
Creation of JPS (Job Problem Sheet) and EAF (Error Acknowledgement Form) PDF form.
Pricing or creation of quotation in Tripacs.
Release a Supplement
Answer phone calls.
Answer email (when necessary).
Maintain a comprehensive log of all uploaded files to ensure easy reference and facilitate performance monitoring.
Front desk duty roster (to relieve the Receptionist at lunchtime)
Other duties that may be assigned from time to time.
