Job Description

Job Summary:

VLinc is seeking a highly organized and detailoriented Administrative Assistant / Contract Coordinator to support our expanding operational needs. This dualrole position is central to ensuring smooth daytoday administration contract compliance and coordination across multiple federal programs. Youll support internal operations contract documentation deliverable tracking and personnel onboarding

Essential Duties:

  • Administrative Support:

o Manage executive calendars coordinate meetings and handle internal communications

o Create format and proofread correspondence reports and briefings

o Organize internal files folders and workflows using SharePoint and Microsoft Teams

o Assist in preparing travel logistics expense tracking and basic invoice review

  • Contract Coordination:

o Track contract deliverables task orders and reporting timelines

o Assist with onboarding paperwork resume crosswalks and governmentrequired forms (e.g. VARs)

o Maintain versioncontrolled documentation and compliance files across multiple contracts

o Interface with portals like FedConnect PIEE and to help manage updates and submissions

  • Onboarding & Process Management:

o Coordinate onboarding of new hires and 1099 contractors ensuring compliance with government and internal requirements

o Maintain accurate records for clearances training resumes and key personnel documentation

o Collaborate with team leads to monitor contract progress flag overdue items and support proposal development

Knowledge Skill and Abilities:

  • Excellent verbal and written communication skills
  • Strong organizational skills and excellent attention to details
  • Ability to work independently and manage time effectively (autonomy is key)
  • Effective communication skills with an appreciation for the appropriate ways to interact with managers coworkers and customers.
  • Effective crossorganization collaboration abilities
  • Strong MS Office Application skills
  • Familiarity with contract portals such as FedConnect PIEE and
  • Exposure to CMCC deliverable tracking or subcontractor coordination
  • Ability to adapt to changing technology to setup coordinate and schedule Telecoms/VTCs
  • Travel to meetings and/or conferences as required by the customer
  • Work is performed remotely or in a hybrid environment.
