Job Description

Saint Josephs College of Maine is hiring for the fulltime position of College Welcome Desk Supervisor!

The College Welcome Desk Supervisor supports the department of Athletics and campus wellness activities by being responsible for the management and administration of the Harold Alfond Center; leading Athletic Department efforts in specific areas; providing supervision and development of student staff; and providing faculty staff and student auxiliary services.

POSITION RESPONSIBILITIES:

Responsible for the management and administration of the Harold Alfond Center by:

  • Staffing the Welcome Desk at the Alfond Center
  • Welcoming and greeting every guest entering the facility
  • Welcoming and monitoring all patrons using the recreational facilities
  • Ensuring every user is checked into Picktime and has filled out the facility usage waiver
  • Providing exceptional customer service to all SJC members and outside community to the facility
  • Promptly answering and assisting all phone calls and questions
  • Directing phone calls to the correct departments if needed
  • Understanding the schedule of classes offered in the facility for both campus members and outside community
  • Maintaining a clean appearance of the Alfond Center facility
  • Providing information to guests about the college campus and surrounding areas
  • Using point of sale system to process payments
  • Filling out deposit slips daily
  • Monitoring Monks Fuel Station

Leads Athletic Department efforts in specific areas by:

  • Enforcing all policies and procedures of the Alfond Center
  • Addressing and/or communicating any safety or security concerns when necessary
  • Working diligently and communicating effectively with other campus department
  • Promotes community engagement through public opportunities (fitness classes etc) and community discounts (Standish/Windham Residents) for fitness classes
  • Promotes free and discounted uses of the facility and fitness classes for all alumni and family of alumni

Provides supervision and development of student staff by:

  • Hiring training scheduling and managing student staff that varies is size seasonally
  • Ensuring desk is staffed at all times during hours of operation
  • Coaching and mentoring student staff in setting goals creating action plans and time management while fostering a team environment
  • Managing performance coaching sessions and disciplinary actions in a professional and timely manner
  • Managing timely approval of biweekly timesheets
  • Creating implementing and managing standardized training documents
  • Ensuring a high level of customer service is delivered

Provides faculty staff and student auxiliary services by:

  • Managing the College switchboard operations:
    • Being knowledgeable of the various department functions/contacts
    • Answering incoming calls to the College
    • Directing callers to the appropriate department/contact
  • Assisting with the parking pass/vehicle registration process
  • Processing and printing College ID card

MINIMUM REQUIREMENTS:

  • Bachelors Degree preferred or combination of High school/GED and 23 years of related experience
  • CPR/AED certified or willing to become certified

  • Strong verbal and written communication skills
  • Ability to interact with people of all ages and backgrounds
  • Knowledge of general office operations
  • Cash management skills with a pointofsale system
  • Knowledge of computers (Google platform Word Outlook Excel) sportsrelated equipment Picktime Smartsaver point of sale system switchboard
  • Ability to maintain confidentiality and discretion
  • Tolerates workrelated stress effectively maintaining professionalism and adherence to core values in all interactions

SCHEDULE:

  • Fulltime 35 hours/week
  • Evening nighttime and weekend hours may be necessary
