The Administrative Coordinator is a central member of the team responsible for coordinating office operations and providing comprehensive administrative support across departments. This role is a liaison for both internal and external stakeholders and must be proactive organized detailoriented and solution focused with a strong commitment to supporting the team and enhancing operational efficiency.
Qualifications:
Required:
- High school diploma or equivalent
- Minimum of 2 years of customer service administrative support or related experience
- Intermediate proficiency in Microsoft Office Suite Excel Outlook Word etc. and strong computer skills preferably in DocuSign SharePoint Community Suite (Foundant) and Adobe
- Demonstrated skill and experience with CRM database administration e.g. Client Relationship Management software (CRM)
- Excellent interpersonal written and verbal communication skills to interact with employees vendors leaders and other community stakeholders.
- Excellent time management skills with a proven ability to meet deadlines and work collaboratively in a fastpaced dynamic environment

- Ability to act with integrity professionalism and confidentiality
- Bilingual in Spanish and English

Responsibilities:
- Greet and assist visitors to the Foundation manage incoming and outgoing correspondence and serve as the primary or backup contact for incoming calls as determined by department assignment.
- Effectivelyoperate the Foundations various software applications to enter data generate reports and provide technical system guidance and troubleshooting support to fundholders.
- Ensure the cleanlinessorganization and general upkeep of shared office spaces such as the staff break area and conference rooms. This responsibility includes monitoring supplies coordinating restocking as needed cleaning surfaces ensuring equipment is in working order and resetting rooms after meetings or events.
- Provide general administrative support to varying departments including copies preparation of board books thank you cards advisor packets
and other support
as needed.
- Effectively operate and troubleshoot office printers mail meter and presentation screens.
- Coordinate reservations of internal and external meeting spaces.
- Schedule internal and external meetings for departmental leadership including travel coordination and material preparation.
- Facilitate general office needs vendor relationships maintain business records and management systems.
- Assist with meeting followups scheduling taking minutes and serving as a proxy when needed. Assist with meeting preparation by drafting materials correspondence memos spreadsheets agendas and presentation materials.
- Provide event coordination support (on and offsite) including leading the development of the annual calendar with the team ordering food reserving venues managing schedules and coordinating handouts.
- May be to complete other duties within scope as assigned.
Environment:
The primary work locationis1120 S. 101stStreetin Omaha Nebraska. This role is expected to work in the office with the occasional flexibility to work from home.
