JOB TITLE: School Office Coordinator

EXEMPT: No

GRADE: 115

LOCATION: Westwind

TERM OF EMPLOYMENT: 11Month

REPORTS TO: Principal

SUMMARY: The job of School Office Coordinator is done for the purpose(s) of providing clerical support to school site administrative functions; conveying information regarding school and/or district functions; ensuring compliance with financial legal and administrative requirement of assigned functions.

REQUIRED QUALIFICATIONS:

  • High school diploma GED or equivalent
  • Social Security Card
  • Proof of immunity to Measles and German Measles
  • Valid picture ID
  • Fingerprint/background clearance (upon employment)
  • Jobrelated experience with increasing levels of responsibility

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  1. Administers firstaid and medication to students as may be required under the direction of health professional for the purpose of meeting immediate healthcare needs
  2. Composes documents (e.g. correspondence agendas minutes bulletins reports etc. for the purpose of communicating information to school and District personnel the public and/or state officials etc.
  3. Coordinates programs and/or activities (e.g. speakers dances luncheons field trips etc. for the purpose of ensuring proper notification to parents staff administrators etc.
  4. Evaluates situations (e.g. involving other staff students parents the public etc. for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution
  5. Handles funds for the purpose of processing student fees sale of products etc.
  6. Monitors assigned activities and/or program components (e.g. payroll attendance program budget time sheets etc. for the purpose of ensuring compliance with financial legal and/or administrative requirements
  7. Orients new site personnel regarding appropriate school and District practices for the purpose of effectively assimilating new personnel into site operations
  8. Oversees student workers volunteers instructional assistants etc. for the purpose of ensuring appropriate class credit and/or meeting work requirements
  9. Prepares written materials (e.g. purchase orders work orders minutes brochures newsletters etc. for the purpose of conveying information regarding school and/or District activities and procedures
  10. Processes documents and materials (e.g. requisitions schedules attendance reports agendas mail etc. for the purpose of disseminating information to appropriate parties
  11. Processes substitutes for the purpose of providing complete and accurate documentation on faculty
  12. Reconciles cash accounts as assigned for the purpose of maintaining accurate balances and complying with accounting practices
  13. Responds to inquiries of staff the public parents and/or students for the purpose of providing information and/or direction as may be required
  14. Secures substitutes for the purpose of ensuring adequate staffing
  15. Supervises students for the purpose of monitoring students referred for illness and/or disciplinary actions
  16. Supports principal and/or other school administrative personnel for the purpose of providing assistance with their administrative functions
  17. Maintains inventories of supplies and materials for the purpose of ensuring items availability
  18. Maintains office in a neat and orderly fashion for the purpose of ensuring an appealing and efficient work area
  19. Perform such other duties and assumes such other responsibilities as may be assigned by the Superintendent/Designee

SKILLS KNOWLEDGE AND ABILITIES:

Skills are required to perform single technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: analyzing and interpreting technical procedures and governmental regulations; utilizing standard office equipment; and utilizing pertinent software applications.

Knowledge is required to perform basic math including calculations using fractions percents and/or ratios; read technical information compose a variety of documents and/or facilitate group discussions; and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes: pertinent codes policies regulations and/or laws.

Ability is required to schedule a significant number of activities meetings and/or events; routinely gather collate and/or classify data; and use basic jobrelated equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing specific defined processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize specific jobrelated equipment. In working with

others independent problem solving is required to analyze issues and create action plans. Problem solving with data requires analysis based on organizational objectives; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: being attentive to detail; communicating with diverse groups; meeting deadlines and schedules; maintaining detailed records; and adhering to safety practices.

RESPONSIBILITY:

Responsibilities include: working under limited supervision using standardized practices and/or methods; leading guiding and/or coordinating others; and operating within a defined budget. Utilization of significant resources from other work units is sometimes required to perform the jobs functions. There is a continual opportunity to impact the Organizations services.

WORK ENVIRONMENT:

The usual and customary methods of performing the jobs functions require the following physical demands: occasional lifting carrying pushing and/or pulling; frequent stooping kneeling crouching and/or crawling; and significant finefinger dexterity. Generally the job requires 50 sitting 25 walking and 25 standing. The job is performed in a generally clean and healthy environment.
