Job Description

We are seeking a highly skilled and motivated Sales Assistant to join our team. The ideal candidate will play a critical role in optimizing and managing our HubSpot CRM and Marketing Hub to support our marketing initiatives drive lead generation and ensure seamless operations across various systems. The HubSpot Coordinator will also be responsible for maintaining data integrity automating marketing workflows and providing valuable insights based on campaign performance.

Responsibilities

  • HubSpot CRM Management:

    • Maintain and update the HubSpot CRM database ensuring data accuracy.
    • Learn and understand internal processes and adapt HubSpot to meet company needs.
    • Assist in creating and refining HubSpot automation processes including sales lead tracking quotes and contract management.
  • Customer Service and Client Engagement:

    • Provide excellent customer service via both email and phone addressing client concerns and inquiries.
    • Follow up with leads to ensure they progress through the sales pipeline.
    • Assist in tracking sales outcomes (won or lost) and report on lead progression.
    • Make customer service touches to ensure clients feel valued and cared for even after the sale.
  • Sales Support:

    • Assist in generating sales leads and reports from HubSpot.
    • Help process orders quotes and contracts with the HubSpot system.
    • Collaborate with sales teams to ensure leads are effectively handed off to dealers and tracked through completion.
  • Excel and Data Management:

    • Use Excel proficiently including creating and maintaining macros and formulas for pricing calculators and contract generation.
    • Assist in reviewing and optimizing internal Excelbased tools for better efficiency.
    • Team Onboarding and Training:
    • Collaborate with team members to onboard and train them in the effective use of HubSpot.
    • Develop and implement training materials for internal staff on HubSpot best practices.

Requirements

  • Graduated with a 3year or 4year Bachelor s degree

  • Candidates must provide either an NBI Clearance or Police Clearance (preferred) upon hiring

  • Must be comfortable with using Hubstaff a timetracking application

  • Proven experience in sales and marketing administration with a focus on proposal coordination and bid registrations.

  • Proficiency in Microsoft Office Suite (Word Excel PowerPoint)

  • Familiarity with CRM tools Hubspot experience is a must

  • Strong organizational skills for managing administrative tasks

  • Professionallevel English (written and verbal/voice)

  • Computer or laptop with access to the internet (minimum speed of 25 Mbps)
