Position: Operations Associate
Work Hours: Monday to Friday 7:00am to 5:00pm EST
Pay Range : USD 1000 to 1600 per month (depending on qualifications and skills)

A USbased privately owned manufacturing and distribution business
Duties and Responsibilities:
Operations & Inventory Management
Match new inventory deliveries to sales backorders and flag for fulfillment.
Coordinate outbound orders with the warehouse; track and resolve delivery errors.
Manage the staging and progress of large or complex orders.
Track and log stock counts; prioritize items needing updates and liaise with the warehouse team.
Process and input stock counts into our systems; update descriptions to reflect count dates.
Identify discontinued products and flag them once inventory hits zero.
Reorder inventory based on sales trends and freight minimums.
Update product costs and reprice SKUs to maintain margin targets.
Sales Support
Enter and confirm sales orders apply discounts and send confirmations.
Maintain and update product catalogs using PowerPoint.
Monitor customer activity and flag lapsed accounts for followup.
Contact smaller lapsed accounts via phone or email to reengage.
Support sales team on large deals: track next steps keep momentum going.
Send weekly updates on major opportunities and pending actions
Assist in cold email/phone lead generation as needed.
Accounting Support
Code credit card transactions to correct accounting categories.
Track and manage accounts receivable progress with the bookkeeper; escalate as needed.
Send weekly A/R summary email outlining issues and next steps.
Review employee timesheets ahead of payroll and follow up on discrepancies.
Executive Assistant Support
Manage personal admin tasks for the GM: booking appointments planning trips etc.
Maintain a running GM todo list and provide reminders or updates on task status.
Review internal video footage to monitor productivity (e.g. excessive phone use).
Ensure CRM usage compliance across the team.
Track and update patent expiration dates and check for new patent filings.
Required Qualifications
At least 2 years of relevant operations admin or analytical work experience
Strong proficiency in Microsoft Excel and general cloudbased tools (Office Teams etc.
Highly detailoriented with excellent organizational skills
Able to selfmanage prioritize and follow through with minimal supervision
Strong written and verbal communication skills
Familiarity with CRMs (like Pipedrive) and inventory tools (e.g. Erplain is a plus

Enjoys working quietly and systematically behind the scenes
Takes ownership and gets things done without needing micromanagement
Analytical mindset but willing to also roll up their sleeves with admin tasks
Comfortable juggling diverse responsibilities across departments
