Who Youll Be Working With

In this role youll work closely with PMGs Talent Acquisition teama collaborative group of recruiters coordinators and operations specialists who are passionate about creating a streamlined thoughtful experience for every candidate and hiring manager. Youll also partner regularly with the People & Culture (HR) Operations team ensuring that recruiting workflows systems and reporting processes are aligned with broader organizational needs.

Your daytoday work will involve coordinating directly with recruiters on candidate movement interview logistics and pipeline reporting. Youll collaborate with scheduling partners system administrators and Talent Enablement team members to maintain data integrity improve workflows and support process enhancements that enable highquality highvelocity hiring.

Youll also serve as a key support resource for the upkeep and optimization of recruiting toolsincluding our Applicant Tracking System (ATS) CRM and scheduling platformshelping the team stay efficient compliant and candidatefocused.

What You Will Do

  • Maintain and optimize Talent Acquisition systems including the ATS CRM and scheduling tools by assisting with troubleshooting data entry reporting and daytoday operational support.
  • Support recruiting data integrity by tracking key metrics maintaining system hygiene and helping ensure reporting is accurate clear and actionable.
  • Enhance the candidate experience by hosting onsite interviews coordinating logistics and drafting and refining candidatefacing communications like outreach templates and event invitations.
  • Help organize and execute recruiting events by managing timelines coordinating logistics liaising with stakeholders and providing onsite support to ensure a smooth experience.
  • Contribute to process improvement efforts by participating in tool testing documenting updates assisting with change management and refining workflows to improve team efficiency.
  • Maintain uptodate internal documentation including standard operating procedures (SOPs) workflows and recruiting knowledge bases to ensure clarity and accessibility across the team.
  • Leverage AI tools to draft edit and polish communications and templates helping maintain consistency clarity and alignment with PMGs brand voice.
  • Research new technologies and trends in recruiting operations sharing insights and opportunities to help the team stay innovative and forwardthinking.
  • Coordinate deliverables for recruiting projects tracking progress collaborating across teams escalating risks when necessary and ensuring ontime delivery.
  • Provide flexible support across Talent Acquisition initiatives stepping in where needed to help the team deliver highquality efficient recruiting operations at scale.

What You Will Bring

  • 3 years of experience in Talent Acquisition Recruiting Coordination or a related People Operations role
  • Experience working with recruiting technologies including ATS CRM and scheduling tools (e.g. Greenhouse Lever Gem Calendly)
  • Proficiency with Google Workspace (Docs Sheets Slides Forms etc. for communication reporting documentation and collaboration
  • Strong writing and editing skills particularly for candidatefacing communications templates and documentation
  • Demonstrated experience using AI tools (e.g. ChatGPT Jasper Textio) to support content creation or communication tasks
  • Excellent organizational skills and ability to manage multiple tasks and deadlines
  • Attention to detail and a process mindset with an interest in continuous improvement
  • Collaborative and proactive with a strong service orientation and comfort working crossfunctionally in a fastpaced environment
