You will be updated with latest job alerts via emailGENERAL NATURE OF WORK: This position performs skilled and semiskilled secretarial work in the Engineering Division of the Public Service Department. An employee in this class is responsible for assisting with a variety of clerical and administrative tasks including reporting filing and data entry. Duties are performed under the direction of the Public Service Director and City Engineer.
EQUIPMENT & JOB LOCATION: This position requires basic knowledge of office equipment including personal computer typewriter calculator copier fax machine telephone bookbinding machine and general office equipment. The primary work site is the Beavercreek City Hall.
ESSENTIAL FUNCTIONS EXAMPLES OF DUTIES:
Any one position may not include all of the duties listed nor do the listed examples include all duties which may be found in all positions in this class.
Types various letters memorandums and reports.
Completes service requests using office software and distributes electronically to appropriate personnel.
Answers incoming telephone calls and directs them to the appropriate personnel.
Establishes and maintains various departmental files.
Enters permits for street opening street sweeping rightofway and grading.
Maintains various departmental logs and lists.
Creates files and maintains various departmental records.
Schedules appointments for the Public Service Director City Engineer Assistant City Engineer and Construction Inspectors.
Prepares requisitions tracks purchase orders and processes invoices for the Engineering Division.
Purchases and manages office supplies.
ADDITIONAL EXAMPLES OF WORK PERFORMED:
Prepares special reports as requested.
Performs other duties as assigned.
DESIRABLE KNOWLEDGE SKILLS AND ABILITIES:
General knowledge of the occupational hazards and corresponding safety precautions necessary for the safe performance of assigned duties.
Specific knowledge of the use of personal computers and computer software including word processing spreadsheets and email.
Ability to establish and maintain effective working relationships with City officials other City employees and the general public.
Ability to maintain records efficiently and accurately.
Ability to operate office equipment such as a copier calculator telephone fax machine postage meter and general office equipment.
Proficiency in computer programs including Microsoft Word Excel and Outlook.
Knowledge of Microsoft PowerPoint is preferred.
Ability to understand and execute oral and written directions.
Ability to maintain records prepare reports and perform other necessary clerical and/or administrative duties.
Ability to deal firmly tactfully and courteously with the general public.
Ability to work under the general direction of the City Engineer and Public Service Director.
DESIRABLE TRAINING AND EXPERIENCE:
High school diploma or equivalent certificate supplemented by considerable experience in clerical work; or any combination of training and experience which provides the desired knowledge skills and abilities.
Previous experience with other public agency(s) is preferable.
NECESSARY SPECIAL REQUIREMENTS:
Possession of or ability to promptly obtain a valid Ohio Drivers License.
Ability to work other than normal working hours as necessary.
