Summary of Position

As a Title Clerk you would be responsible for managing the legal transfer of documents to the DMV. You would be a valuable team member helping to ensure that daytoday operations run seamlessly throughout the organization.

Responsibilities

  • Process all new and used vehicles for registration in the state which they will be titled. Maintain a system to verify outofstate titles.

  • Process registration and get plates for all company owned vehicles and service loaners and processes yearly renewal of dealer tags in conjunction with controller/office manager.

  • Accurately prepare tax and title documents.

  • Submit all legal transfer work to the Department of Motor Vehicles.

  • Verify funds have been collected and the correct lienholder is paid off before processing title applications.

  • Ensure accuracy of title applications.

  • Compile and maintain a complete list of all outstanding title work. Report to management on the status of any missing or problem titles and provides a current list of outstanding titles to the Comptroller at the end of the month or as requested.

  • Sign over titles for all wholesalers who have paid in full.

  • Post wholesale transactions.

  • Keep current on all title regulations.

  • Conduct periodic training sessions for F&I managers and sales personnel regarding title regulations and procedures and issues a written memo to managers and sales personnel whenever regulations change.

  • Complete required training as requested by Knudtsen Foothills and/or Mazda and Lincoln.

  • Other tasks as assigned.

Marginal Duties

  • Bill dealer trade vehicles and prepare Certificates of Origin.

  • Warranty and extended service contract processing maintain contracts log.

Qualifications

  • Basic computer skills working ability of Word Excel etc. and ability to learn database management software.

  • Proficient oral and written communication skills and the ability to read and interpret documents.

  • Basic knowledge of accounting principles is preferred.

  • Have a valid drivers license.

  • Pass a motor vehicle report and possess a safe driving record.

  • Pass a criminal background check.

  • Required preemployment drug test (note: we do not test for during preemployment testing).

  • Also subject to random drug testing reasonable suspicion drug and alcohol testing and postaccident testing at the companys request.

The Title Clerk may be required to stand for long periods of time sit for long periods of time walk with customers and team members lift and/or carry up to 50 pounds balance stoop kneel and crouch. While performing the duties of this job the employee is regularly required to talk listen and hear. The employee is frequently required to use hands to finger handle feel and reach with hands and arms. Specific vision abilities required by this job include close vision distance vision color vision peripheral vision depth perception and ability to adjust focus.

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The environment for the Title Clerk varies but most often is an office setting seated at a desk/computer. In circumstances where the Title Clerk needs to communicate with other members of the team the Title Clerk may be required to walk throughout the dealership property and may encounter inclement weather. The Title Clerk may also enter the service areas and be exposed to dangerous work environments and loud noises. The noise level in the work environment is usually moderate to loud.
