Job Title: Executive Assistant VP of Sales Support
Location: Remote FullTime Offshore with an American Client
We re looking for a highly organized proactive and detailoriented Executive Assistant to support our VP of Sales. This is a key role for someone who thrives in a fastpaced highgrowth environment understands the dynamics of a sales organization and can efficiently manage the daytoday administrative and operational needs of a senior leader. You ll ensure our VP stays focused on strategic priorities by handling scheduling coordination and key communications.
Manage complex calendars and coordinate meetings across multiple time zones
Track tasks prioritize followups and manage action items
Prepare meeting agendas take detailed notes and ensure followthrough
Act as a liaison and gatekeeper for the VP with both internal and external stakeholders
Serve as the goto admin for HubSpot CRM: update records pull reports track deals
Compile relevant data and insights to support decisionmaking
Draft emails presentations and meeting summaries on behalf of the VP
Partner with recruiters to schedule interviews and track candidate progress
Maintain organized records related to the hiring pipeline for sales roles
Manage postmeeting followups and correspondence
Communicate priorities and ensure deadlines are met by actively managing the VP s agenda
Collaborate with crossfunctional teams to collect updates and information as needed
3 years supporting a VP or senior sales leader ideally in SaaS or a B2B environment
Strong handson experience with HubSpot CRM
Excellent written verbal and interpersonal communication skills
Exceptional multitasking and time management abilities
Proven ability to work independently handle sensitive information with discretion and operate under pressure
Familiarity with sales processes and pipeline stages
Based in or near Colorado or within Mountain Time
Experience supporting recruitment or hiring processes
Proficiency with tools such as Google Workspace Slack Zoom Notion etc.
