Job Description

This is a remote position.

OVERVIEW:
We are seeking a highly organized Executive Assistant (EA) with a strong administrative background to support the client s company director. This role is heavily focused on calendar email and CRM management with marketing support duties (mainly formatting and sending newsletters/EDMs). The ideal candidate thrives in a fastpaced environment follows structured processes and has excellent communication skills. This is a longterm opportunity with ongoing support and training provided.
JOB DESCRIPTION / RESPONSIBILITIES:
Calendar Management: Manage the Director s hectic calendar by confirming rescheduling or cancelling appointments as needed inserting correct Teams links preparing meeting documents via CRM and following up with stakeholders for missing materials.
Email Management: Conduct daily triage of the Director s inbox by deleting junk unsubscribing from unnecessary emails organizing folders and maintaining a clean actionready email environment.
CRM & Appointment Handling: Use the CRM system to confirm appointments send reminders follow up with noshows and make client confirmation calls through the systems builtin function.
Newsletter/EDM Support: Format and distribute two newsletters/EDMs per month using provided content with occasional light research (e.g. local market updates).
General Administrative Support: Handle ad hoc administrative tasks and assist with simple document preparations and occasional special projects like podcast scheduling if capacity allows.

Requirements

BASIC QUALIFICATIONS:
We are looking for someone who has:
Proven Executive Assistant or Administrative background
Experience supporting senior leadership or executives.
Strong experience with CRM systems Outlook calendar and inbox management.
Excellent written English and professional communication skills.
Ability to independently manage highvolume workloads while following set processes.
Familiarity with basic marketing tools/templates for simple EDM formatting.
Previous exposure to newsletters simple marketing content formatting and CRMbased client communication.

Work From Home Set up
Can work between 9AM to 6PM AEST
Laptop / Desktop (Minimum requirements 16GB RAM i5 processor & Windows 10
Internet Speed (Minimum of 15 MBPS

Salary:$8 AUD per hour
