Position: Special Projects Coordinator

Department: City Managers Office

Employment Status: Permanent Full Time NonExempt

Schedule: Core Office Hours are Monday Thursday 75:30

Compensation: Grade 6: Salary Range Starting at $20.37/hour


POSITION SUMMARY

Under the general direction of the City Manager and Assistant City Manager the Special Projects Coordinator will provide professional level support management oversight and project management to key programs projects and strategic initiatives. The Special Projects Coordinator conducts analyses and makes recommendations on a widerange of municipal programs operations services and policies; resolves highly sensitive and complex issues; and coordinates or serves as the City Managers liaison to a variety of interdepartmental and multiorganizational teams. The position oversees special executivelevel projects and independently executes strategic projects research and assignment and researches and writes first drafts of reports letters of inquiry proposals and concept papers.


ESSENTIAL DUTIES KNOWLEDGE SKILLS ABILITIES

  • Provides complex professional level support to the City Manager and the City Managers Office.
  • Utilizes strong interpersonal skills to work with various department heads and City employees on projects. Has knowledge of interpreting highly technical information and asks questions when needed.
  • Willingness to learn new skills. Many of the assigned tasks could be unfamiliar to the position or have no precedent set. The position requires the willingness and ability to research what needs to be done and how to complete the project in the absence of specific guidance.
  • Ability to lead project teams and collaborate with others without having direct supervision.
  • Conducts operational research and management studies; analyzes operations programs and services; develops recommendations regarding opportunities to optimize the use of resources.
  • Adheres to laws regulations and policies of the City. Follows direction of the City Manager and Assistant City Manager. Possesses knowledge of city/department/governing policies procedures and ordinances.
  • Develops plans coordinates and executes ongoing and shortterm assignments including taking full responsibility for project management for key projects.
  • Maintains related records metrics program databases project timelines milestones and outcomes. Prepares statistics and reports on outcomes projected and realized.
  • Develops program/project budgets and monitors analyzes and reconciles related records. Suggests creative strategies and solutions to reoccurring issues.
  • Represents the City Managers Office at various meetings including those requiring interagency coordination keeping the City Manager apprised of issues as they arise; completes special projects as assigned; prepares and distributes key communication pieces as needed; and coordinates special events meetings and workshops when appropriate.
  • Provide regular status updates to leadership on critical path initiatives supporting overall objectives; will utilize multiple information and service delivery systems and interdepartment resources to effectively execute assigned projects.
  • Draft reports proposals letters of inquiry and concept papers. Must have strong writing and editing skills and have the ability to provide concise written and verbal communication. Proficient in Microsoft products and ability to learn other computer software.
  • Position requires planning of one owns daily workload while meeting provided deadlines must have strong organizational and time management skills.
  • Other duties as assigned.


Requirements

MINIMUM REQUIREMENTS

Education:

Bachelors degree in Public Administration Business Administration Political Science or related field from an accredited university.

Experience:

2 years of professional experience in project management or program development. Work experience that does not include project management or program development shall not count towards years of experience.

PREFERRED QUALIFICATIONS

Background in government or nonprofit work is preferred.

Masters degree in Public Administration Business Administration Political Science or related field preferred.

Four 4 years of professional experience in project management or program development.
