Job Description

Staff Operations Manager

BELA Charter School

Brooklyn Emerging Leaders Academy Charter School (BELA) a new allgirls high school located in Bedford Stuyvesant Brooklyn focused on SISTERHOOD SCHOLARSHIP STRENGTH and SERVICE is deeply committed to a 100 of our students completing college. Founded on the belief that academic and life preparation is equally as important; each BELA young woman will embark on her own personal and intellectual journey. The Role

The Operations Coordinator (Staff) ensures the school office effectively serves and supports students parents school staff and the Bedford Stuyvesant community. Reporting to theChief Operating Officer this role is responsible for overall school operations including receptions oversight inventory control and facilities management.

The position is a fulltime 12 month position with a start date of early July 2025.

Teachers and Staff members at BELA will:

  • Create inspiring challenging and effective teaching learning experiences for all of our students

  • Collaborate with fellow teachers students and school leadership to build the school from the ground up

  • Share in the leadership of the school by taking on essential roles in addition to teaching

  • Be committed to serving all students including Students with Disabilities and English Language Learners in the context of the regular education classroom using a variety of inclusion models

  • Enjoy and thrive in the lively and diverse world of urban adolescent young women while striving to create a model of public education that serves them well.

  • Design facilitate and participate in experiences and conversations that relate to race gender class and sexual identity in ways that empower students and foster community

Primary Responsibilities:

Human Resources

  • Finalize and record letters of hire after approval from the Head of School Board personnel actions and compliance

  • Track mandated staff trainings (Child Abuse Workplace Violence etc.

  • Track and document staff professional learnings

  • Collect and keep all human resource documents

  • Support in orienting and preparing employee transitions

  • Issue employee keys equipment network account/passwords etc. according to procedure

  • Document school operations processes and procedures and ensures that staff are trained to perform these activities

  • Provide reporting for compliance including Titles IV teacher certification and fingerprinting school meals safety fire drills health

  • Manage NYC and state data collection systems including Galaxy ATS SESIS Level 0 TEACH etc.

  • Time Attendance PTO calendar staff coverages

  • Employee performance and evaluation

  • Assign communicate with the team staff coverages

Facilities

  • Work with COO to coordinate space renovations room changes etc. organize and communicate to all staff logistics for office and classroom moves ordering new furniture etc. and make certain that the facilities are kept clean well maintained and safe

  • Leads the team to ensure that the School Safety and Security Plan is implemented and that drills are conducted to ensure that all in the school are prepared for emergency situations.

Student and Family Relations

  • Welcomes and attends school guests prospective and current families

  • Upholds and maintains a positive nurturing achievementoriented school culture

  • Builds relationships with families to keep them wellinformed and support their needs

  • Participate in evening family events (including but not limited to Student Led Conferences Summer Programs.

Student Recruitment Team Member

  • Support with designing and executing a marketing and operational student enrollment strategy that enables school to reach enrollment budget targets

  • Oversee marketing and communication campaigns for enrollment plans

  • Train seasonal recruitment staff in enrollment tactics and strategy

  • Support recruitment team enrollment initiatives and intervene when necessary to ensure success

Office Operations Lead

  • Organizes secures and maintains a pristine office space and environment

  • Directs phone calls and guests warmly and professionally

  • Manages travel arrangements for field trips other student and schoolwide events

  • Manages inventory and ordering purchasing receiving and organizing materials

  • Supports all schoolbased communication systems

  • Manages the inventory of supplies in the welcome center

Qualifications

  • Bachelors degree or equivalent experience is required; Masters degree preferred

  • Bilingual and able to read write and speak Spanish preferred

  • Prior school and/or administrative experience preferred

  • Excellent communication skills both oral and written

  • Excellent organizational planning and implementation skills

  • Ability to establish relationships and communicate effectively with multiple stakeholders;

  • Strong working knowledge of Automate the Schools (ATS) system

  • Strong working knowledge of Microsoft Excel and Word; Experience with Google Apps a plus

  • Experience with managing and entering data with at least 95 accuracy; familiarity with data management systems a plus

  • 12 years of office management administrative or executive assistant experience

  • Energetic and flexible professional who doesnt mind wearing multiple hats

  • Able to work independently with little or no supervision

  • Excellent time management skills and ability to multitask and prioritize work

  • Impeccable attention to detail and problemsolving skills

  • Demonstrated ability to make decisions thoughtfully and work well under pressure
