Job Description

The File Clerk/Scanner will be responsible for maintaining and organizing physical and digital files ensuring efficient document management and supporting various administrative tasks within the office.

The essential functions include but are not limited to the following:

  • Assist in the digitization of records by scanning Business Office documents.
  • Organize and maintain physical and digital filing systems.
  • Sort categorize and label documents for easy retrieval.
  • Ensure accurate and timely filing of documents according to established procedures.
  • Periodically review files to ensure proper organization and adherence to file management policies.
  • Input and update information in databases spreadsheets and other electronic systems.
  • Verify data accuracy and completeness to maintain reliable records.
  • Maintain records of file activity including tracking file movements retrievals and returns.
  • Assist in the disposal or archiving of outdated or obsolete records as per company guidelines.
  • Retrieve requested files and documents promptly and accurately.
  • Assist team members and other departments in locating and accessing relevant information.
  • Provide general administrative support including photocopying scanning faxing and mail distribution.
  • Assist with other office tasks and projects as needed.

Minimum Qualifications:

  • High school diploma or equivalent
  • 12 years of prior experience as a file or administrative clerk preferred
  • Ability to prioritize tasks and manage time effectively.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality of sensitive information.
  • Adaptability and willingness to learn new tasks.

  • Reynolds and Reynolds experience
