Position Specific Accountabilities
Partner with all levels of stakeholders to ensure professional accurate and timely information flow to/from Associate Dean utilizing a variety of organizational and technological resources. Review and edit all communications for accuracy. Provide confidential support and guidance to faculty across faculty related processes. 15
Serve as the Associate Deans point person for faculty recruitment and searches; collaborate with Associate Dean Human Resources Provost Office and SOE Business Services to facilitate timely information and processing of new full and parttime faculty recruitment onboarding and continued support. 15
Develop maintain and oversee an innovative management system to provide more efficient workflow for Faculty Service operations. Develop and implement system for ease of retrieval of program files and historical records including but not limited to faculty load agreements grant and fellowship submissions and awards faculty conference presentations and publications and involvement in International National State Local University and SOE associations/councils/ boards/ task forces/committees. 10
Manage and facilitate all activities related to Faculty Services including but not limited to: recruitment welcome activities and orientations advisory meetings retreats semiannual meetings Chair meetings merit processes faculty awards grants and fellowships institutional research high profile national conference events outofstate and other required events. Manage event communications. Plan events to meet specific program goals/objectives/targets serving as lead with conferences scheduling and catering. Stay abreast of and manage collaborative activities with SOE Dean related to strategic goals. 15
Develop and maintain active uptodate electronic resources for faculty to access on the intranet. Organize annual review of SOE Faculty Handbook and Faculty Web Pages. Manage SOE faculty directory distribution lists policies and resource pages. 5
Serve as a liaison with faculty and Provost Office to facilitate the smooth administration of rank and tenure processes; independently fielding questions; tracking and advising candidates on progress. 5
Manage the course evaluation process for SOE faculty each semester including dissemination and tracking of completion for all part and fulltime faculty for all teaching locations throughout California. 5
Review the allocation and processing of stipends for Department Chairs and Program Directors noting changes and discrepancies and partnering with SOE Business Services to adjust. 5
Review and rollout annually the SOE committee assignment process develop and coordinate communications surrounding committee assignments and concerns; continually review and update master inventory of all SOE committee charges membership and end of year report. 5
Track and provide timely communication surrounding wide variety of faculty associated budgets for travel instructional resources and student worker assistance ensuring funding is allocated and expended within strict guidelines. 5
Manage and balance Associate Deans calendar with significant scheduling requests and conflicts handling ongoing adjustments independently based on shifting priorities. Serve as primary contact for scheduling for both internal and external constituents who interact with the Associate Dean. Provide direct support for LMU business services including but not limited to student worker supervision and timecard approval pcard purchasing with reconciliation and travel arrangements. 5
Stay current on University and SOE policies legislation and trends particularly those related to full and parttime faculty policies in higher education. 5
Serve as an ambassador for the Deans Office representing LMU the SOE and the Associate Dean for Faculty Services within the community and at professional organizations or associations. Serve on committees as required. 5
Perform other duties as assigned or requested.

Requisite Qualifications
Typically a Bachelors Degree in Education Business Administration Communications or related field or equivalent experience. A Masters Degree is preferred. Incumbent will be expected to continue upgrading knowledge skills and abilities needed to keep abreast of fundraising principles/ regulations/policy changes.
Minimum five years of progressively responsible experiences in business college or university administration. Demonstrated knowledge in the areas of higher education faculty development rank and tenure and sabbatical processes highly desirable. Familiarity with pressures facing part and fulltime faculty.
Highly developed organizational and administrative skills. Demonstrated ability to manage details within overarching program and organizational goals. Exemplary communication skills (both written and oral) evidenced by background in preparing comprehensive reports incorporating data to inform decision making.
Demonstrated computer competency in data collection organization and reporting; demonstrated ability in utilizing technology effectively in streamlining and innovating current processes.
Must be able to lift materials up to 25 pounds and be available for occasional evening and weekend activities and travel.
