Job Description

FREEMANHIGH SCHOOL SCHOOL

SECRETARY HighSchool MonFri 7.0 hrs/day 200 Days

SUMMARY:

ASecretary under the supervision of the Principal is responsible for performing secretarial duties in daily operations of the school office. This position may include but not be limited to the following performance responsibilities qualifications knowledge skills and abilities.

DUTIES AND RESPONSIBILITIES:

  1. Exhibits a professional attitude at all times and a willingness to work with others in a positive cooperative and pleasant manner. Promotes customer service. Communicate in a pleasant courteous effective and intentional manner. Adhere to Freeman School District Expectations for Employment.
  2. Greets and assists students and parents answers phones/doors acts as principals/department representative in a positive professional manner when meeting parents and/or general public. Maintains absolute confidentiality.
  3. Prepares a variety of written materials such as documents correspondence report cards reports for principal and special education staff and information to parents via weekly/biweekly newsletter voice messages reader boards websites and other means of communication.
  4. Maintains student records for P12 regular education and special education students. Maintains/manages student registration attendance and the student information systems for reporting data for P12.
  5. Oversees data entry for registration and transcript management.
  6. Maintains a variety of records for the purpose of providing documentation in accordance with administrative and legal requirements. Participate in retention and disposition of records according to the Washington State Retention Schedule.
  7. Manages multiple tasks simultaneously while dealing with significant disruptions.
  8. Prepare correspondence student records requisitions purchase orders bills statements receipts checks or other documents copying information from one record to another. Prepare and distribute mail.
  9. Organizes and directs the work of assigned office student helpers.
  10. Processes field trip requests in compliance with district policies.
  11. Administers first aid and determines whether ill students need immediate care professional help parental notification or excused temporarily to sickroom.
  12. Maintain and manages supplies and equipment inventories.
  13. Operate and ensure maintenance of office equipment including office machines computers and printers.
  14. Attends workshops and trainings to stay current and abreast of updates.
  15. Ability to independently make decisions that align with district policy and administrator expectations.
  16. Demonstrate appropriate computer skills including the ability to create and modify documents and to adapt to new technologies.
  17. Ability to remain calm in high stress situations.
  18. Other duties may be assigned.

QUALIFICATIONS:

To perform this job successfully an individual must be able to be a team player and perform each essential duty proficiently. The requirements listed below are representative of the knowledge skill and/or ability required.   1. Strong computer skills and knowledge and skills to include but not limited to Microsoft Suites Google Workspace and Outlook.
  2. Bookkeeping experience preferred.
  3. Skyward experience preferred.
  4. High school diploma or general education degree (GED); and one to three months related experience and/or training; or equivalent combination of education and experience.
  5. Job related experience with increasing levels of responsibility is required.
  6. Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals. Write routine reports and correspondence using proper language and spelling. Ability to speak effectively with patrons or employees of organization.
  7. Ability to apply mathematical operations to such tasks as adding subtracting multiplying and dividing in all units of measure using whole numbers common fractions and decimals.

  • The employee may occasionally lift and/or move 25 pounds or more.
  • Specific vision abilities required by this job include close vision distance vision color vision peripheral vision depth perception and the ability to adjust focus.

TERMS OF EMPLOYMENT

  • Secretary Classification on Public School Employees of Washington Salary Schedule
  • School year position: 7 hours per day and 5 days per week
  • 200day position 2 weeks before the start of the school year/2 weeks after the end of school year including conference days.
  • District may revise assignment and job location as needed
  • Benefits Medical/Dental/Vision through SEBB (School Employee Benefits Board) are provided for employees who work at least 630 hours per academic year.
  • Additional benefits may include vacation sick leave personal days and paid holidays.
