Position Summary:
Franklin University a private independent accredited notforprofit University located in Columbus Ohio invites applicants for its Human Resources Operations Coordinator position. The Human Resources Operations Coordinator serves as the primary assistant to the Executive Director and HR Directors. The coordinator is an administrative role that assists in projects and initiatives involving the Executive Director and HR Directors. This position requires a versatile individual capable of managing both internal and Universitywide affairs.
This role will work an onsite hybrid schedule.
Duties and Responsibilities:
1 Administrative Support:
- Provide comprehensive administrative support to the Executive Director and HR Directors including managing schedules handling correspondence and coordinating meetings and appointments.
- Serves as the initial point of contact for HR providing excellent customer service and resolution on many diverse inquiries received daily via phone chat and email.
- Budgeting purchasing cost allocation invoicing and other transactional tasks.
- Oversee deadlines for Board Reports and Board Committee presentations.
- Creating editing and preparing slide decks for HR related presentations.
- Coordinate interview schedules and onboarding appointments for faculty candidates as needed.
- Scheduling for FYE and HR Welcome as part of onboarding activities.
- Provides support for employee training and development programs by assisting with scheduling communications data analysis coordinating catering ordering supplies and contributing to the development of presentation materials.
- Act as the point of contact between the Executive Director and internal/external stakeholders including faculty staff students.
- Supporting the HR Team with HR project work as needed and coordinating travel to conferences.
- Additional administrative support includes receiving and sorting mail copying and collating filling and other administrative duties as assigned.
2 Meeting Support & Representation:
- Prepare materials and agendas for HR Team meetings and capturing meeting minutes/notes/action items for those meetings.
- Offer solutions and recommendations for streamlining meetings and agendas.
- Willingness to provide team building ideas and support to create a great environment for all team members.
3 Project Management:
- Conduct research gather data and prepare reports as needed for HR initiatives and projects.
- Refine processes and improvements to accomplish the goals within the scope of responsibility.
4 Communication and Liaison:
- Communicate effectively with faculty staff students and external partners on behalf of the HR Team conveying messages accurately and professionally.
- Anticipate the need for Universitywide communications regarding HRrelated topics.
5 Confidentiality and Discretion:
- Handle sensitive information with the utmost confidentiality and discretion maintaining a high level of professionalism at all times.
Minimum Requirements/Qualifications:
- Education: Bachelors degree in a relevant field such as Business Administration Public Administration or a related discipline or equivalent years of education and experience.
- Experience: Minimum of 35 years of experience in administrative project management or coordinatortype roles preferably in an academic or higher education setting. Experience supporting executivelevel staff is highly desirable.
- Project Management Skills: Demonstrated ability to manage complex projects from conception to completion with strong organizational skills and attention to detail.
- Communication Skills: Excellent written and verbal communication skills with the ability to effectively interact with individuals at all levels both internally and externally.
- Professionalism: Exhibits a high level of professionalism and integrity with the ability to handle confidential information with discretion.
- Adaptability: Flexible and adaptable to changing priorities and able to work effectively in a fastpaced environment.
- Collaborative: Strong team player that works effectively with colleagues and stakeholders across departments.
- TechSavvy: Proficient in Microsoft Office Suite and other relevant software including Teams and HRIS applications.
- Strategic Thinking: Demonstrated ability to think strategically and contribute to the achievement of Human Resources goals and objectives.
