ESSENTIAL FUNCTIONS 7585 Assist evaluators in sending communications to litigants scheduling evaluation appointments completing and sending record requests monitoring completion of record requests maintaining calendars and scheduling hearings for the evaluator as needed. Work with the other Dispute Resolution Support Specialist to do the following: Act as the liaison for the Dispute Resolution Department with the judges magistrates and attorneys in regard to referrals and procedures. Answer inquiries of litigants and attorneys in person and by telephone for the department. Checkin family members for appointments and assist the public with questions. Review subpoenas and update subpoena log for social workers and counselors. Coordinate with court staff to ensure foreign language interpreters are scheduled and ensure completion of appropriate documents for billing. Assist in scheduling supervised parenting time at the Family Visitation Center. Create monthly reports in Excel format for the Family Visitation Center. Process the registration from walkin parties or online for the Parenting Through Transitions class. Monitor the online parenting class attendance and modify case attendance notifications in CMS. Prepare monthly parenting class statistics for the Court. Prepare booklets certificates and evaluation materials for the Parenting Through Transitions class. Monitor the collection of fees for all services in the department. Schedule mediations and neutral evaluations for the Director and the Dispute Resolution Specialist; send appointment letters to litigants and attorneys; schedule hearings and send hearing notices to litigants and attorneys. Process immediate drug screens from the judicial officers. Phone calls to attorneys and/or litigants as necessary. Maintain Excel database of all orders for DRD services. 510 Assists in reviewing Guardians Ad Litem mediator and parenting coordinator applications and annual compliance statements. Scans documents and reports into CMS to create a paperless record of collateral documents. Prepares case folders for the Director. Processes refunds of fees when services are terminated. Attends training as directed. Maintains the current list of GAL appointment database for the Court. OTHER DUTIES AND RESPONSIBILITIES 1015 Accepts other assignments from the Director of Dispute Resolution Department as requested. POSITIONS SUPERVISED N/A KNOWLEDGE ABILITIES AND SKILLS (may be developed after employment) Knowledge of:Applicable procedures and practices of the Court of Domestic Relations; including familiarity with the Courts Local Rules personnel policies and proper courtroom etiquette. Basic computer and office equipment skills including Microsoft Word Excel and Zoom Video Communications. Ability to:Communicate with attorneys the general public employees and Court officials in an effective and courteous manner. Ability to work under pressure maintain composure in dealing with potentially difficult litigants and accept constructive criticism and direction. Must be professional at all times and able to work cooperatively and respectfully with all attorneys litigants Court employees and persons from other courts agencies and related departments. Maintain punctual and regular attendance proper dress and a positive attitude. Must be detailoriented. Skill in:Communication with staff and others both orally and in written form. Completing tasks on time and free from excessive and/or recurring mistakes. Organizational ability. Operation of basic office machines equipment and Windowsbased computer system. Courteous telephone etiquette. MINIMUM QUALIFICATIONS Any combination of training and work experience that indicates possession of skills knowledge and abilities listed above. An example of an acceptable qualification for this position is: Must possess a high school diploma from an accredited school with demonstrated ability in workflow management and the ability to work with little direct supervision. Fluency in word processing and data collection in Microsoft Word and Excel. A high level of discretion is required. Previous work experience in a court setting is desired. College degree or completion of college coursework in related fields desired. PHYSICAL DEMANDS Work may involve a significant amount of standing walking sitting talking listening stooping crouching and reaching with hands and arms. Ability to transfer up to 25 pounds. Ability to sit continuously at a computer terminal for periods of up to three hours. Ability to reach into file drawers in standard fourdrawer file cabinets. Visual ability sufficient to effectively operate a copier facsimile machine and a computer terminal and to read reports correspondence and instructions. Hearing ability sufficient to converse with other individuals both in person and by telephone.
