The Receptionist & Facilities Coordinator manages the front desk and provide daily administrative support to the facilities team. This role plays a key part in ensuring a welcoming environment for employees and guests while keeping our facilities running smoothly.
Key Responsibilities:
- Serve as the first point of contact by managing the front desk answering incoming calls and greeting visitors.
- Monitor the Envoy calendar to track visitors at both the Headquarters and Tampa Office.
- Maintain office supply inventory: regularly check stock levels anticipate needs and place orders.
- Assist with outgoing UPS shipments.
- Support weekly new hire desk setups and workspace coordination.
- Create employee badges for new hires and existing team members as needed.
- Send out internal facilities communications.
- Process and allocate facilitiesrelated invoices.
- Ensure holiday signage is appropriately displayed throughout the building.
- Address tenant requests and coordinate solutions for any buildingrelated issues at Integrity Tower (Cincinnati Location).
- Provide support for events and companywide initiatives.
- Assist with special projects and other administrative duties as assigned.
Qualifications:
- High School Diploma or GED Required.
- 2 years of working in a fastpaced office environment required.
- Strong communication and interpersonal skills.
- Detailoriented with excellent organizational abilities.
- Ability to multitask and manage time effectively in a fastpaced environment.
- Comfortable working independently and collaboratively.
- Prior facilities experience preferred.
