The role requires a motivated and adaptable individual to support the Global Vice President of Quality as Chief of Staff to act as an analyst project manager and communicator. The Chief of Staff oversees and manages a broad agenda in supporting projects and initiatives at a high level and to high standards. The person in this position will provide comprehensive research project management process improvement and administrative coordination to ensure the efficient and effective daytoday functioning of the Global VP of Quality. This position requires an eagerness to learn creative problem solving and a strong business acumen. The Chief of Staff role encompasses five primary accountabilities: preparation for and facilitation of critical Quality Leadership meetings; coordination/orchestration of projects or commitments directly involving the Quality executive and his direct reports; independent leadership of special Quality initiated projects; development of key communication and research on behalf of the Quality VP and proactive identification of issues that could impact the successful achievement of organizational goals.
What You Will Do:
- Assist the Quality VP in facilitating effective decisionmaking and act as sounding board for new ideas and initiatives.
- Provide oversight and guidance on high priority projects on behalf of the global quality leader
- Ensure the quality executives action items are addressed properly efficiently and judiciously by keeping track of progress until resolved.
- Create communications and presentation materials for the VPQ as needed by gathering data from various resources across the organization.
- Participate in regular meetings with key stakeholders to discuss VPQ related projects and issues represent the expectations and priorities of the VPQ and relevant functions and consult the VPQ for specific decisions as appropriate.
- Research and factcheck using company databases and external sources; develop and maintain Key Performance Indicators and other company metrics.
- Contribute to the effectiveness of the VPQ by triaging and responding to inquiries at his request in person or in writing.
- Plan and provide logistical support for executive level meetings including agendas minutes and logistics.
- Analyze data as requested by the VPQ and other leaders.
- Control expenditures within limitations of project budget.
- Support the VPQ in improving current processes to optimize procedures for efficiency and productivity.
What You Need:
- Bachelors degree in business or a related field
- Ability to assist the VPQ in making effective decisions and serve as a sounding board for new initiatives
- Skills in providing guidance and oversight on highpriority projects
- Proficiency in managing and tracking the VPQs action items to ensure they are addressed efficiently and effectively until resolution
- Capability in creating communication and presentation materials by synthesizing data from multiple organizational resources
- Experience in participating in meetings with key stakeholders to discuss VP Qualityrelated projects represent the VPQs priorities and provide consultative support on decisions
- Ability to effectively triage and respond to inquiries directed to the VPQ both in person and in writing
- Experience in planning and providing logistical support for executivelevel meetings including setting agendas and recording minutes
- Competency in analyzing data as requested by the VPQ and other leaders
- Experience in controlling expenditures within the constraints of project budgets.
- Excellent skills in MS office applications such as PowerPoint Excel Word Outlook Teams Power BI etc.
This position requires onsite presence at Spellman High Voltage headquarters in Hauppauge NY. Some travel may be required.
Our good faith estimate of the salary range for this role is $120000 to $150000.
Exact compensation may vary based on skills experience and other factors. In addition to base pay we offer a highly competitive benefits package.
