Position Title: Manager of Signature Events
Reports to: Vice President of Marketing & Community Engagement
Team Structure: Member of the Philanthropy & Engagement Team
Includes fundraising admissions marketing and alumni all reporting up to the VP.
FSLA Classification: Parttime Exempt
POSITION OBJECTIVE
Seeking an experienced and innovative Manager of Signature Events to lead the strategy and of highimpact events to reach school goals. The role is responsible for planning coordinating and executing Sions largest annual fundraising events including our annual gala and golf tournament. This role works closely with the members of the Philanthropy & Engagement team parent volunteers and other stakeholders to ensure that events align with organizational goals foster donor engagement and meet revenue targets.
This position will be entering into a wellestablished structure with the signature events currently achieving recordbreaking fundraising levels and solid event attendance.
RESPONSIBILITIES
Plan and execute major events that align with Sions goals and mission.
Oversee events from initial ideation through event teardown.
Manage relationships with vendors venues and internal and external stakeholders to negotiate contracts oversee logistics and maintain high standards of quality and service.
Project and track revenue expenses attendance and engagement data to ensure goals are met.
Lead planning committees and volunteers including event chairs.
Assess the success of events and adapt year to year to ensure ongoing success.
Collaborate closely with members of the Philanthropy & Engagement team particularly marketing and fundraising.
Event Planning and Management
Plans and executes annual fundraising gala golf tournament
Support the vision and logistics of other donor cultivation/stewardship events and alumni gatherings.
Develops and manages detailed event timelines budgets and project plans.
Collaborates with internal teams and external vendors to ensure all aspects of events are seamless and within budget.
Manages event logistics including venue selection contracts catering audio/visual needs and dcor.
Collaborates with the marketing team on event registration attendee communications and followup processes.
Track expenses providing regular updates to the team.
Maintain event records including attendee lists sponsorship details and postevent evaluations.
Analyze event outcomes and provide recommendations for future improvements
Volunteer and Stakeholder Coordination
Strong history of volunteer management.
Recruit train and manage event volunteers and committees.
Serve as the primary point of contact for event committees ensuring clear communication and alignment with event objectives.
Maintain relationships with alumni community partners and other key stakeholders to support event success.
Required Qualifications
5 years of experience in event management with a portfolio of successful largescale events.
Proven track record of managing budgets timelines and logistics for complex events.
Exceptional project management skills with a keen attention to detail and the ability to handle multiple priorities simultaneously.
Strong negotiation and communication skills with the ability to build lasting relationships with stakeholders and vendors.
Excellent interpersonal and communication skills both written and verbal.
Strong collaborative work style.
Familiarity with budgeting and financial tracking for events.
Ability to work evenings weekends and flexible hours as needed for events.
Preferred Qualifications:
Experience in the education or nonprofit sector.
Familiarity with event management software and technology platforms.
Technical Skills and Relevant Technologies
Proficiency in or familiarity with Blackbaud Raisers Edge.
Proficient in event management software OneCause and Google Suite.
Knowledge of audiovisual and technical requirements for live events.
