Job Description

Job Title: Campus Operations Coordinator

Department:Operations

Reports To: VP Municipal Services

FullTime SalaryExempt with Benefits


Position Summary: Lakeside Chautauqua is a nonprofit organization located on one square mile of waterfront property on the Marblehead Peninsular. We operate 2 hotels a pool and fitness center an auditorium a movie theater and several meetings and events spaces. While we operate yearround our busy season is from Memorial Day until Labor Day when we welcome thousands of guests to enjoy all that Lakeside has to offer.

This position will operate within Campus Operations and will be responsible for creating a centralized purchasing system sourcing and purchasing materials and services for the Lakeside Association.

Essential Duties and Responsibilities: (To include other duties that may be assigned.

  • Assist VP of Municipal Services with scheduling projects ensuring deadlines are achievable and achieved
  • Work with contractors to ensure we have current copies of their insurance and W9s
  • Act as primary contact for community questions and concerns and provide follow up communications
  • Coordinate with Purchasing for deposits and final payments for projects
  • Coordinate with Grounds regarding tree removal and planning applications
  • Coordinate with the Process Improvement Specialist with GIS information updates and Work Order tracking
  • Code and submit invoices to Purchasing
  • Work with commercial insurance carriers to provide updated inspection reports
  • Assist the Development Coordinator with monthly meetings
  • Assist with seasonal recruiting
  • Create and maintain a contractor database
  • Review and organize historic files and documents
  • Process monthly credit statement and expenses
  • Organize team communications and coordinate departmental events

Education and/or Experience:

  • Impeccable communication: strong verbal and written communication skills.
  • Excellent time management and organizational skills.
  • Networking and interpersonal skills
  • Strong computer and internet research skills
  • Multitasking and flexibility skills
  • Willingness to learn and be a collaborator.
  • Ability to write routine reports correspondence and take detailed notes
  • Proficient with Microsoft Office programs


Qualifications:

To perform this job successfully the individual must be able to perform each essential duty satisfactorily. The requirements are representative of the knowledge skill and or ability required. Language Skills:

Ability to read and interpret documents such as safety rules operating and maintenance instructions and procedure manuals. Ability to speak effectively before groups of customers or employees of the operation.

Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written oral diagram or schedule form.

Physical Demands:

While performing the duties of this job the employee is regularly required to stand; walk; use hand to finger handle or feel; reach with hands and arms; stoop climb or balance; specific vision depth perception and ability to adjust focus. Must be able to lift up to 50lbs. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Work Environment:

Must be a selfstarter who can troubleshoot and problem solve. This is an onsite position that will be located in the Maintenance and/or Grounds building.
