JOB DESCRIPTION FOR AN ADMIN ASSISTANT:
We are looking for an Admin Assistant to join our team. The main responsibility of Admin Assistant is to provide a wide range of support services to the Sales and Account Managers. The Admin Assistant will perform a full range of highly responsible complex sensitive and confidential administrative secretarial advanced clerical and programmatic support functions of a general or specialized nature in support of the executives with only occasional instruction or assistance exercising judgment and initiative.
Your Responsibilities as an Admin Assistant would be:
Plan and organize work activities; recommends improvements in workflow procedures and use of equipment and forms; implement improvements as approved; develop and revise office forms and report formats as required;
Prepare clear accurate and concise reports.
Accurately recording minutes from meetings.
Using various software including CRM word processing spreadsheets databases and presentation software.
Establish organize and maintain a variety of specialized files and records.
Understand and carry out oral and written directions.
Respond tactfully clearly concisely and appropriately to inquiries.
Making travel arrangements for executives.
Exercise good judgment and maintain confidentiality in maintaining critical and sensitive information records and reports.
Proofread verify and review materials applications records reports and publications for accuracy completeness and conformance with established standards regulations policies and procedures; ensure materials reports and packets for signature are accurate and complete.
Maintain calendar of activities meetings and various events.
Establish and maintain effective working relationships with those contacted in the course of work.
Email Management: Organize prioritize and respond to emails in a timely and professional manner ensuring efficient communication. Manage and maintain an organized inbox flagging urgent messages and delegating tasks when necessary.
Perform related duties as required.
Qualifications as an Admin Assistant:
Graduate of any Bachelor s Degree.
Minimum of 2 of work experience as an Admin Assistant or other similar administrative support experience is strongly preferred.
Minimum of 2 years of proven handson experience with office management systems CRM software Microsoft Suite and other applicable software.
Exceptional communication and written skills.
Extensive knowledge of principles and practices of office administration.
Proven handon experience exercising discretion and confidentiality with sensitive company information.
Topnotch organizational skills with an ability to think proactively multitask and prioritize daily workload.
Exceptional conceptual thinking resourcefulness diligence attention to detail and creative problemsolving skills.
Highly organized with topnotch ability to work with limited supervision.
Adept at meeting deadlines in a fastpaced quickly changing environment.
Technologically proficient social media savvy and has indepth knowledge with online calendars and/or cloud system.
Exceptional time management leadership and organization skills.
Advanced knowledge of principles and practices of sound business communication.
Indepth knowledge of principles of business letter writing and report preparation.
Advanced knowledge of records management principles and procedures including record keeping and filing principles and practices.
Extensive knowledge of customer service and public relations methods and techniques.
Exceptional knowledge of methods and techniques of proper phone etiquette.
A team player with the initiative to step up into the leadership responsibilities when the need arises.
