Title: Program Administrator

Division(s): Systems of Care

Reports to: Senior Program Administrator Systems of Care


Summary:
The Program Administrator in this position supports the CBCs System of Care which includes programs like the flexible service initiative Pathway Home (PH) & Safe Options Support (SOS) in Brooklyn Queens the Bronx and Manhattan to facilitate transition to the community from street inpatient and institutional settings of individuals who face profound challenges due to disabilities resulting from a serious mental illness (SMI). The Program Administrator will be responsible for providing general administrative support for the program to help ensure the effective efficient and professional implementation of administrative functions.

Education Requirements:
  • Minimum educational requirement AA/BA degree.
Experience Requirements:
  • Minimum of 3 years of administrative experience supporting core programmatic functions.
  • Experience in a work environment that includes multiple stakeholders.
  • Has significant familiarity with nonprofit organization management and can work well in a diversepaced environment. Can work with department staff to recommend systems of efficiency.
  • Understands business implications of decisions and can align responsibilities with department goals while using administrative tasks to achieve organizational goals.
  • Has the ability to independently conceptualize execute and document projects from inception to completion.
  • Has exceptional organizational methods
  • Preference will be given to candidates with experience serving and/or developing systems who serve persons with chronic health conditions behavioral health conditions persons experiencing homelessness and persons with Medicaid.
Essential Duties and Responsibilities:
  • Provide full administrative support CBCs systems of care meetings/trainings/activities as directed.
  • Create and distribute meeting minutes training and other programmatic materials then track and follow up with the receipt of attestations where necessary.
  • Receive and triage communications to director and program staff including telephone calls and provide assistance using independent judgment to determine those requiring priority attention; prioritize channel and facilitate communication from department heads and independently respond to letters and general correspondence of a routine nature.
  • Assist the VP of Systems of Care and program staff as assigned in ensuring that the needs of the agencys external constituents are appropriately addressed including meeting coordination and correspondence with regulatory and funding bodies.
  • Maintain appointment schedules and calendar for CBC leadership staff.
  • Maintain accurate and up to date email and phone contact list on behalf of director and program needs.
  • Support CBC leadership with the coordination of intraagency communication activitiesproduction of internal newsletters etc.
  • Develop and recommend office procedures and systems to help ensure smooth office operations.
  • Assist the CBC leadership in developing presentation slides and presenting data at internal and external meetings.
  • Support project management for System of Care projects/trainings/activities quarterly and as needed.
  • Manage databases of program referrals and data extraction reconciling aggregating analyzing and presenting for purpose of system maintenance and measuring performance across network providers
  • Develop and facilitate trainings for the EHR platform for program staff to maintain quality performance standards and outcomes.
  • Manage and coordinate all purchasing step down fund requests from staff and vendor to ensure completion.
  • Process invoice reconciliation in collaboration with finance department.
  • Assist in drafting and composing program manual scripts submissions.
  • Create flyers and other marketing materials to support various programs.
  • Develop and maintain a system to manage all files both paper and electronic to ensure accessibility and accuracy of record keeping.
  • Conduct user research through surveys and other methods. Work with data to inform design approach.
  • Manage the design and purchase of program gear and other related materials.
  • Perform other duties as assigned.
Qualifications:
  • Knowledge of New York states behavioral health landscape including knowledge of its behavioral health providers.
  • Impeccable organizational skills with strong attention to detail.
  • Excellent written and verbal communication skills.
  • Knowledge of Microsoft Forms or similar application.
  • Solid demonstrable skills in Microsoft Office Suite with medium to advanced knowledge of Excel Word and PowerPoint.
  • Comfortability managing and manipulating data.
  • Excellent technological skills including Zoom and willingness to learn new systems.
  • Strong technological skills in use of software and webbased computer applications including but not limited to Word Excel Outlook and PowerPoint.
  • Ability to multitask manage and appropriately prioritize between competing projects.
  • Able to demonstrate flexibility and adapt quickly to change.
  • Excellent interpersonal skills.
