Event and Communications Assistant

  • Employment Type: Full Time 35 hours per week)
  • Duration: Continuing
  • Remuneration: Level 5 $85717 $96992 (depending on experience) 17 super leave loading
  • Location: Kensington NSW (hybrid)

The UNSW Division of Societal Impact Equity and Engagement (DSIEE) leads UNSWs efforts to make a positive and lasting impact on society promoting equity and social justice and driving engagement activities which enhance UNSWs reputation as a key contributor to society through its research teaching and community engagement.

Working closely with internal and external stakeholders the Event and Communications Assistant is responsible for contributing to and assisting on projects and events for the Event Programs team delivering high quality and impact event and project outcomes.

This role reports to the Senior Manager Event Programs and has no direct reports. This role sits within the newly formed Strategic Events department and the role will have a focus on both key internal University events as well as UNSWs prestigious and leading thoughtleadership platform the Centre for Ideas and other strategic event programs.

Responsibilities:

  • Participate fully within the Event Programs team contributing to building a cohesive and effective team that demonstrates a commitment to excellence and continuous improvement.
  • Assist the Event Programs team with Centre for Ideas and University events and projects including updating budgets preparing venue and production requirements organising talent travel and preparing ticketing requirements.
  • Participate in the onground delivery of Centre for Ideas and University events and projects assisting with venue elements (bump in and bump out) marketing elements and front of house elements.
  • Brief and supervise volunteers contractors and casual staff as needed.
  • Prepare event communications including newsletters event and project communications and other marketing briefs and collateral.
  • Design event and project assets and collateral.
  • Contribute to the creation and implementation of social media and marketing strategies.
  • Contribute to the implementation and utilisation of common systems and procedures for Centre for Ideas and University events to ensure high quality event presentation consistency and effective use of resources.
  • In collaboration with the Senior Manager and Event Programs team develop and manage costings and budgets for events at both internal and external venues including engagement of external suppliers and contractors as required.
  • Assist with and attend a range of events outside of normal working hours.

Skills and Experience

  • Relevant tertiary qualification and relevant experience or an equivalent level of competence gained through any combination of education training and experience.
  • Demonstrated experience assisting on events assisting on production ticketing marketing and talent elements.
  • Demonstrated ability to work flexibly and productively as an effective team member to ensure deadlines are met.
  • Outstanding organisational skills with proven ability to deal with multiple tasks and establish priorities ideally in an event and project management setting.
  • Demonstrated ability to work successfully with stakeholders and team members to product highquality events that meet agreed objectives and outcomes.
  • Ability to use databases and systems and to adapt good computer literacy to new event systems to run effective events/evaluation.
