Job Description

Bethel School District is seeking qualified applicants for a 7 hour per dayOffice Coordinator I/Educational Assistant II at Prairie Mountain. This position will be 4 hours per day Office Coordinator I (control # 6627 and 3 hours per day Educational Assistant II (control # 7349.

Nature of Work

Office Coordinator I

This is office support work of a specialized clerical and secretarial nature for Bethel School District. Positions of this class perform general and specific clerical office support tasks for elementary middle school high school or district office administrative coordinator support may be provided to principals counselors department heads viceprincipals teachers or positions of a higher class.

Most positions of this class have a blend of clerical support and secretarial assistance duties. The type of work may vary depending upon the work cycle of the school year. AnOffice Coordinator I may have student parent and public contact in person or by telephone. A pleasant and helpful attitude is needed when dealing with the public.

This position may include up to two recess supervision duties.

Educational Assistant II

An Educational Assistant II provides individual and small group support and personal assistance often in a standard or special purpose educational program to students with distinct and exceptional educational needs and challenges as determined by a certificated specialist. The primary purpose of positions in this class which distinguishes it from positions of other classes is to screen and assess the educational needs of students provide instructional assistance to students in a classroom and charting and recording results. Clerical and word processing or computer data base updating duties may be assigned to positions as time permits but are not considered primary tasks and do not require a large percentage of time.

A position of this class may be assigned fulltime to a student with a physical impairment that requires the employee to assist with school tasks the student cannot perform such as attending class and taking notes; carrying books; adapting written school materials; personal cleanliness and hygiene; administering medication; setting up or operating specially adapted equipment; food preparation and feeding the student; and assisting the student to communicate with teachers classmates and others.

A position of this class may tutor students individually or in small groups providing instructional assistance in a variety of subjects or courses; administers and scores standardized tests; and maintains student records in conformance with government regulations.

Examples of Work

Office Coordinator I

  • Provides secretarial assistance for teachers department heads and school administrators by typing forms memos and correspondence.
  • Performs data entry in a district database to create and update student schedules report cards basic and health information and attendance records; and generates and distributes periodic reports.
  • Maintains and updates files on attendance registration inventory student academic progress records health records etc. as needed.
  • Processes new transfer or returning student enrollment; provides information on school activities and curriculum; corresponds with other schools to secure transcripts and required records.
  • Takes minutes and notes for correspondence for staff meetings.
  • Maintains current calendar and compiles copies and distributes announcements and newsletters.
  • Greets and screens walkin and telephone callers; responds to student and parent questions and directs to the appropriate person; and takes messages.
  • Prepares requisitions for materials and supplies requested by teachers and administrators; performs bookkeeping responsibilities for petty cash fund; collects sorts and distributes mail.

Educational Assistant II

  • Determines students educational needs by assisting a teacher with administering scoring test results; maintains and updates student daily progress records; keeps records on test scores grades attendance and other related data in compliance with government funding and program requirements.
  • Assists in developing lesson plans for students prepares instructional materials provides instructional assistance to students tutors students reads and paraphrases tests and provides assistance in problem solving skills.
  • Provides assistance in language visual gross and fine motor and sensory skills using a variety of developmental learning materials; develops students reading math spelling handwriting art and music skills; performs math and reading timings charts results in student folders and updates computer database and other required record keeping.
  • Observes and participates in recording student progress and correcting papers confers and consults regularly with teachers about problems encountered with students and shares behavioral and academic observations of individual students with the instructor.

Selection Factors

  • Knowledge of basic English composition spelling grammar and vocabulary
  • Knowledge of the operation of standard office equipment required by the position
  • Ability to deal with the public in a pleasant tactful and courteous manner
  • Ability to learn office policies and procedures for tasks assigned
  • Ability to learn word processing software as required by the position
  • Ability to type enter data into a computer database and take dictation accurately at an acceptable level of proficiency as required by the position
  • Ability to process and complete clerical transactions accurately and efficiently
  • Ability to maintain an appropriate and legal level of confidentiality regarding students staff and other individuals.
  • Ability to establish and maintain effective working relationships with teachers students administrators parents and coworkers.
  • Ability to maintain regular predictable and prompt attendance
  • Knowledge of educational programs offered in all schools and of basic educational techniques as required by the position.
  • Knowledge of the basic developmental stages of a childs learning process.
  • Ability to schedule the workload and meet the needs of the program.
  • Ability to understand and follow oral and written instructions.
  • Ability to work with small groups and individual students in special programs.
  • Ability to prepare materials for lesson plans.
  • Ability to interact positively with children and adults and observe individual student abilities.
  • Ability to work with a minimum of supervision.
  • Ability to learn safe lifting and proper physical positioning techniques to place students in student desks or in passenger vehicles as required by the position

Minimum Qualifications

High school diploma or equivalent. Previous course work and training or child development childcare or instructional assistance experience that demonstrates possession of the knowledge and abilities needed to perform the work. Ability to prove Highly Qualified status under NCLB or pass Bethel School Districts Highly Qualified Assessment. Any satisfactory equivalent combination of experience and training that ensures the ability to perform the work may be substituted for the required experience.

Upon offer of employment applicants must obtain a fingerprint clearance from the Oregon Department of Education through a process authorized by the Bethel School District. Applicants would be responsible for the onetime fingerprint clearance fee.
