Responsibilities

This role will be responsible for managing the daily operations of EPE Headquarters ensuring that the workplace is organized and wellmaintained. The position will oversee the administrative tasks to include front desk operations planning and coordinating events facilities management scheduling and coordinating travel arrangements. This role requires excellent communication skills attention to detail and the ability to multitask in a fastpaced environment.

Howyou can make an impact:

Office Administration:

  • Greet and welcome visitors with a friendly and professional demeanor.
  • Answer and direct phone calls emails and other inquiries.
  • Maintain a clean and organized reception area.
  • Manage incoming and outgoing mail and packages.
  • Track and manage office and facilityrelated expenses within approved budget. Assist in annual budget planning for office operations and facility management.

Event Planning:

  • Plan coordinate and execute company events meetings and conferences ensuring all events run smoothly and efficiently.
  • Negotiate and manage contracts with vendors.
  • Prepare event materials agendas and presentations

Facilities Management:

  • Oversee the maintenance and cleanliness of office facilities.
  • Prepare conference rooms and facilities for meeting and events
  • Coordinate with maintenance staff and external vendors for repairs and services.
  • Provide support in setting up new office locations as needed and provide ongoing administrative support for those offices.
  • Monitor and order office supplies lunchroom supplies and equipment as needed.
  • Ensure compliance with office safety and security procedures.

Scheduling:

  • Ensures timely scheduling of events and meetings
  • Send reminders and followups for scheduled activities.
  • Handle rescheduling and cancellations as necessary.

Travel Coordination:

  • Arrange travel itineraries accommodations and transportation.
  • Prepare travel expense reports and ensure timely reimbursement.
  • Monitor travel budgets and ensure costeffective arrangements.

Qualifications

Bring your passion heres whats needed:

  • High school diploma or equivalent; associate or bachelors degree preferred.
  • Proven experience in office administration or a similar role
  • Excellent organizational and multitasking skills.
  • Strong communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite.
  • Ability to work independently and as part of a team.
  • Attention to detail and problemsolving skills.

Location: This position will be located onsite in our corporate office in Austin TX

Travel: Occasional travel may be needed 10 or less
