Reporting to the Human Resources Director the Human Resource (HR) Coordinator is responsible for supporting daytoday transactional HR activities and providing administrative support to the HR department. The HR Coordinator is responsible for coordinating information and data related to HR programs and initiatives specifically recruitment the administration of a human resources information system (HRIS) including gathering and managing employee records performance review cycle attendance and disability management employee and labour relations and file and records management. The HR Coordinator will be the initial contact for employee questions related to HR policies and procedures for the Southern Division.
KEY ACCOUNTABILITIES
The primary job duties and responsibilities include but are not limited to the following:
- Coordinate and assist with the life cycle recruitment process including developing job postings placement of job postings screening and shortlisting of candidates scheduling interviews participating in select interviews conducting reference checks preparing employment offer letters onboarding and file and records management. Maintains a recruitment and onboarding tracker and checklist.
- Ensures that all required certifications such as licenses medicals and other documentation are received and verified before hiring. Actively participate in onboarding activities to welcome new employees to the organization.
- Works closely with the Payroll & Finance Administrator and supports the HR team (HR Director and HR Specialist) to onboard and offboard employees including providing salary and benefits entitlements information leave of absence support EI and WSIB administration leave and disability inquiries and confirmation of employment for past/current employees.
- Maintains accurate and uptodate HR records in an HRIS fleet management system and/or learning management system as applicable including employee data training records certifications onboarding/offboarding documents seniority lists disciplinary records and performance appraisals. Generates reports as required to support the HR team.
- Tracks probationary employees and assists in administering the performance review process for all employees.
- Maintains knowledge of union agreements and associated benefits and entitlements. Provides recommendations to HR team for potential union negotiation matters.
- Assists the HR team with administration of grievance and arbitration paperwork processes and procedures.
- Manages information and data related to HR activities ensuring confidentiality accuracy and compliance with data protection regulations. Regularly maintains and audits employee files and participates in annual audits ensuring record retention policies are followed.
- Takes minutes where required at HR meetings whether with employees unions management external case workers or otherwise.
- Participates in HR projects when applicable such as performance management recognition programs HR services development HR metrics job evaluation process training and development.
- Coordinates with the Manager of Health Safety Environment and Compliance where required to ensure the Southern Division complies with regulatory and health and safety matters.
- Ensures a supportive work environment through open communication and acting as a liaison between frontline staff and management. Act as the initial point of contact regarding HR questions for employees and leaders in the Southern Division directing inquiries as appropriate to the HR Specialist and/or Director.
- Provide support to all staff in HR matters in conjunction with HR team.
- Assists in producing documents for managing employee performance such as disciplinary letters when directed by HR Director.
- Assists with planning staff events meetings and presentations.
- Creates documents posters and communication pieces as requested to support the HR team. Posting announcements and developing content for the employee intranet platform (HRIS).
- Plans coordinates and participates in employee engagement service recognition and life acknowledgment activities across OSTC.

- Performs other duties as assigned by the position manager.
QUALIFICATIONS EDUCATION KNOWLEDGE WORK EXPERIENCE and SKILLS
Education and Experience
- A minimum twoyear college diploma in human resources business administration or a related field or a combination of education and relevant experience.
- At least 2 years of experience in Human Resources administration or related experience.
- Experience administering an HRIS or related database is an asset.
- Experience with human resources in a unionized environment is an asset.
- Possession of or working towards an HR certification such as CPHR CHRP CHRL SHRMCP and can demonstrate a level of professionalism and expertise in the field would be an asset.
Knowledge and Skills
- Strong and professional communication skills for displaying tact (e.g. sensitive conversations with employees) and relaying information (e.g. policies/procedures to applicants and others)
- Demonstrated problemsolving skills
- Proficiency in Microsoft Office suite including Word Excel PowerPoint and Outlook
- Detailoriented and able to work with a high degree of accuracy
- Knowledge of human resources information systems and databases.
- Complete understanding of the recruitment life cycle.
- Excellent interpersonal skills and ability to develop positive working relationships both internally and externally.
- Strong organizational and time management skills and adaptable to a timesensitive environment where there are multiple and urgent deadlines.
- Knowledge of the Employment Standards Act Common Law Occupational Health & Safety Act and other employment legislation in Ontario and other jurisdictions as required.
- Experience working with the marine sector or the publicsector would be an asset.
