The role:
A Site Leader is a full time 40 hours a week inoffice role that leads a successful workplace management program including managing the facility to ensure a safe and healthy working environment as well as implements local employee engagement initiatives to align SoFi global programming and reiterate company core values and culture. The Site Leader reports into Corporate Real Estate as part of the Site Management Team.
What youll do:
Workplace Management
- Act independently to ensure the successful operation of a SoFi office and implementation of an effective workplace management program this includes:
- Front desk oversight
- Property management
- Understanding of lease requirements for the site and operating expenses
- Liaison with landlord or property manager to address building issues
- Implementation of routine or emergency office repairs
- Oversee sites annual operating and maintenance program
- Ownership of the site operating budget
- Oversee Emergency Action Planning including office Floor Warden Program emergency drills and participation in other business continuity/disaster recovery efforts.
- Provide security oversight including coordination with SoFi Security Manager IT and landlords if necessary for employee badge printing and tracking and oversight of all SoFi visitors or guests utilizing the global vendor management system.
- Responsible for maintaining the offices space and occupancy program including:
- Coordination with CRE on current/projected capacity
- Partner with the People team to track existing and new headcount and growth projections across the Business Units to help inform CRE decisions
- Work with hiring managers to coordinate all new hire seating for the office
- Facilitate desk moves with IT or any floor restacking programs
- Maintain an updated space plan
- Responsible for all new hire desk setups to ensure a great first impression at SoFi including coordinating with IT to ensure equipment is setup. Additionally responsible desk resets for employees no longer at SoFi .
- Responsible for oversight of all vendor management for the office including:
- Creation of master service agreements with new or existing vendors to align vendors with SoFis contracting requirements including gaining approvals by Legal and CRE
- Onboard new vendors as needed and ensure existing vendors have up to date vendor documentation including W9s and COIs
- Create vendor purchase orders and conduct invoice review and budget tracking
- Conduct quarterly business reviews (QBR) to ensure service needs are being met
- Annual renewals for vendors
- Manage the sites snack and beverage program (either independently or through a third party vendor) and ensure alignment with SoFis overall program standards.
- Oversee the site budget including tracking of all expenses (snack and beverage program supplies repairs and maintenance service/equipment contracts etc) and participate in budget planning and forecasting with the CRE team.
- Oversee procurement of all office supplies in accordance with SoFis overall program.
- Responsible for overseeing incoming and outgoing mail procedures for the office and ensuring critical documents are handled in a timely manner.
Employee Experience Programming
- Partner with the Employee Experience team to implement Think Globally Act Locally engagement initiatives that drive employee participation and the workplace experience.
- Creatively lead engagement and morale events and programs (in alignment with other sites) including corporate milestones holiday celebrations wellness initiatives volunteer events birthday and anniversary programs etc.
- Be an operational lead for cultural diversity and inclusion initiatives including coordination with SoFi ERG/Circles.
- Plan and execute local volunteer or giveback activities in the office and community.
- Take initiative to develop rapport and relationships with Business Units onsite leadership and understand how the Site Leader position can support team goals and employee experience in the office.
- Help support sitewide and/or team specific initiatives.
- Draft and issue regular site updates and communications to drive participation in initiatives (via Slack email newsletters wallboards) help be the voice of the office.
What youll need:
- 3 years of professional work experience in a workplace management property management corporate facility management or hospitality industry.
- Strong organizational skills detailoriented and ability to handle multiple and everchanging priorities in fastpaced office environment
- Commercial real estate and facilities experience required
- Excellent written and oral communication skills
- Passion for being a creative and positive problem solver
- Proven record of going the extra mile for your colleagues
- Experience working with all levels of the organization from management and employees to vendors/contractors
- Experience with GSuite Microsoft Office expense reports AP/AR and other office administration software
- Ability to learn new technical tools quickly such as leasing or space management software
- Passion to build and sustain team culture
- Occasional evening and weekend work may be required as job responsibilities demand
- Experience working in an organization with varied shifts (early mid late overnight etc.
- Articulate and polished; successfully represents the organization at external events
- And of course the ability to laugh and have fun while being productive and hit OKRs
