Position Summary
Assists the Corporate Meetings and Events Manager with the implementation of ProMedica hosted events by carrying out assigned tasks including pre event coordination event setup day of event needs tear down and post event follow up. Also assists with community events and meetings hosted on the ProMedica Downtown headquarters campus.
Accountabilities
1. Supports the overall planning coordination and of events by assisting with vendor selection and negotiation invitation process food and beverage tracking of event budget and other related tasks.
2. Assists with day of event setup and tear down and conducts final inspections to ensure everything adheres to event specific standards
3. Oversees guest registration and check in process and handles guest questions or concerns.
4. Acts as liaison between community partners and ProMedica for community events hosted at the downtown headquarters campus.
5. Assists with the scheduling of meeting requests for the downtown campus meeting spaces
6. Coordinates meeting related logistics including catering room setup and a/v needs
7. Routinely undertakes unexpected errands to assist Manager during times of high workload
8. Performs other duties as assigned
Skills:
Must be dependable and able to carry out tasks in a timely and efficient manner.
Must be flexible to work evenings and weekends regularly.
Must have dependable transportation that can be used in the performance of duties.
Must be proficient in Microsoft Office suite including PowerPoint and Excel.
Must have the ability to multi task and work on multiple projects at the same time.
Must be able to understand directions communicate and respond to inquiries and have strong customer service skills.
