OVERVIEW

Perfetti Van Melle (makers of Mentos Airheads Dentyne Trident and Bubblicious! is one of the worlds largest manufacturers and distributors of confectionery and chewing gum with global brands that are being enjoyed in more than 150 countries worldwide. Were currently seeking a passionate and enthusiasticAdministrative Assistantto join our growing team.

WHAT YOU WILL DO

The Plant Administrative Assistant provides administrative support to the plant management team ensuring efficient operation of the plant office and event support. This role involves managing office communications organizing and maintaining files processing documents and supporting various plant operations and activities.

Office Assistant Responsibilities:

  • Greeting clients and visitors.
  • Handling incoming calls and other communications. Transferring calls as necessary.
  • Handing off logistics calls to appropriate department.
  • Handing off HR calls to Human Resources Team
  • Package and mail deliveries from USPS UPS FEDEX DHL. Handling outbound small package shipments.
  • Coordinating any office / plant events that may need assistance.
  • Handling badging for guests.

Plant Administrative Assistant Responsibilities:

  • Coordinating domestic and international travel as needed.
  • Preparing presentations documents and time blocks for department meetings.
  • Organizing team building event planning for teams celebrations for employee birthdays company anniversaries etc. and ensuring the team and company recognizes employees with important life events.
  • Managing employee check lists and departmental moves for new hires and promotions including advising on office location computer access and phone needs as well as welcome signs for doors and scheduling departmental orientations for new employees.
  • Assist the plant management team with daytoday administrative tasks including scheduling meetings managing calendars and organizing documents.
  • Assist in the coordination and support of plantrelated events including scheduling venue selection liaising with vendors for catering and decorations and ensuring all logistical aspects are managed efficiently to facilitate successful corporate meetings workshops and employee engagement activities.
  • Prepare edit and distribute various documents and reports ensuring accuracy and adherence to company policies and industry regulations.
  • Monitor office supplies inventory and order materials as needed ensuring the plant is wellstocked with necessary supplies.

WHAT WE NEED FROM YOU

  • High school diploma or equivalent; associate or bachelors degree preferred.
  • 5 years experience as an administrative assistant office admin assistant or similar role. (Experience in a manufacturing or plant environment preferred but not required).
  • Proficiency in Microsoft Office Suite (Word Excel Outlook and PowerPoint) and experience with office management software.
  • Strong organizational skills with the ability to multitask and prioritize work effectively.
  • Excellent written and verbal communication skills.
  • Attention to detail and problemsolving skills.
  • Ability to work independently and as part of a team in a fastpaced environment.
  • Strong interpersonal skills to interact positively with all levels of staff and external partners.
  • Flexibility to adapt to changing priorities and work schedules.
  • Knowledge of SAP and Visio a plus

This role typically operates in an office within a plant or manufacturing facility requiring occasional visits to the plant floor. The candidate should be comfortable working in an industrial environment and able to adhere to safety protocols.
